We are growing, and we are building real depth into our team. This is a brand-new permanent seat, created because we believe in never being one person away from a scramble.
We are calling this new position the Floating Pack Coordinator.
What You Will Be Doing
The Floating Pack Coordinator is a key operations role at Pathway Legal. You keep the firm running smoothly and provide backup coverage across core functions when needed. You have a clear home base, with additional responsibilities that activate during absences or workload spikes.
“Floating” reflects your movement between functions. “Pack Coordinator” reflects your role in keeping the team aligned and supported.
Core responsibilities (60–70%)
Your primary home base includes:
Intake overflow support
Handle consultation bookings, intake forms, and first contact with prospective clients during high-volume periods.
Operations & marketing support
Website updates, Quest (internal systems) maintenance, Clio configuration, Google Business Profile updates, email campaigns, and other infrastructure tasks.
Light executive support
Support the founder with calendar management, Amazon returns, office supplies, travel arrangements, and basic tech needs.
Legal assistant support
Assist legal assistants with defined tasks when workload requires it.
Backup responsibilities (30–40%, when needed)
During planned or unexpected absences, you may cover:
Intake coordinator duties to ensure uninterrupted client intake
Routine non-discretionary accounting tasks (e.g., issuing cheques, returning trust funds per documented procedures)
Operations and marketing tasks for absent team members
Legal assistant tasks as directed by a paralegal or legal assistant
This is a “do everything” when needed role. You will also, however, have a defined home base, and backup duties activated when required. All processes are documented in Quest (our onboarding and systems platform), so you are never guessing.Experience
- Proven office experience within a professional or legal setting preferred
- Supervising experience in an administrative or team management role required
- Familiarity with QuickBooks, bookkeeping, payroll processing, and vendor management highly desirable
- Strong communication skills with excellent phone etiquette and organizational abilities
- Experience with multi-line phone systems, filing systems, and clerical tasks necessary
- Background in human resources, training & development, or office administration is advantageous
- Demonstrated ability to manage multiple priorities efficiently in a fast-paced environment

This role can be demanding
