Job Summary
We are seeking a highly organized and proactive Personal Assistant to support executive management with a variety of administrative and clerical tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency in office software. Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity
- Perform data entry and maintain accurate filing systems both digitally and physically
- Coordinate travel arrangements, including booking accommodations and transportation as needed
- Support front desk operations, greeting visitors and managing office supplies
- Utilize DocuSign for electronic document signing and management
- Provide exceptional customer service to internal staff and external clients, ensuring their needs are met promptly
- Perform general administrative duties such as photocopying, scanning, and organizing documents
Qualifications
- Proven experience in an administrative or clerical role with office experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks, Bookkeeping, Data Entry, Filing, and Office Management tools such as Microsoft Outlook Calendar
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing skills for efficient data entry and document preparation
- Experience handling multi-line phone systems with professional phone etiquette
- Attention to detail in proofreading documents for accuracy
- Ability to work independently with minimal supervision in a fast-paced environment
- Prior front desk or receptionist experience is a plus
- Knowledge of DocuSign or similar electronic signature platforms is desirable
