Job Summary
We are seeking a professional and organized Front Desk Agent to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in medical or dental offices is a plus, but not mandatory. The Front Desk Agent will play a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere for all guests.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems with professionalism and courtesy, directing calls appropriately
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems, both physical and electronic, including medical or dental records if applicable
- Schedule appointments and coordinate calendars for staff or practitioners
- Assist with administrative support tasks such as proofreading documents, managing correspondence, and preparing reports
- Perform clerical duties including typing, photocopying, and maintaining office supplies
- Support bookkeeping activities related to billing or invoicing when necessary
- Ensure the reception area remains tidy and welcoming at all times
Experience
- Prior office experience preferred, especially in administrative or clerical roles
- Familiarity with front desk operations in medical or dental offices is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and data entry tasks
- Strong organizational skills with attention to detail and accuracy in proofreading and filing
- Excellent customer service skills with professional phone etiquette and communication abilities
- Ability to handle multiple priorities efficiently while maintaining a friendly demeanor
- Previous experience with bookkeeping or QuickBooks is a plus but not required
