Status: Full-Time (32 hours/week), Wednesday–Saturday 9-5
Compensation: Starting at $22.00/hour
Location: North End of Halifax, NS

Coastal Gender‑Affirming Care (Coastal) is a values‑driven clinic in Nova Scotia providing gender‑affirming care, sexual health services, and medical aesthetics. The role
We are looking for a compassionate, organized Administrative Assistant to join our team. As one of the first points of contact for patients, you will handle booking, patient communication, and day‑to‑day clinic operations with warmth and discretion. We are adding a second administrative role due to high patient volume, so you will be well supported by our current team members.
What you will do
- Answer patient calls and emails and book appointments.
- Greet patients and visitors professionally at the front desk, creating a welcoming environment.
- Manage a multi‑line phone system, schedule appointments, and respond to patient inquiries.
- Manage referrals and keep patient information accurate and up to date.
- Support billing and clinic documentation.
- Help maintain a welcoming, organized office.
- Use our clinic systems and patient platforms confidently.
- Maintain positive relationships with community partners.
- Assist with physician scheduling, arranging meetings and calendar management.
What you bring
- Minimum 2 years of experience as a medical office administrative assistant or in a similar role.
- Experience with an electronic medical record (EMR).
- Self‑starter with the ability to work independently.
- Excellent communication skills with a professional, caring manner.
- Strong organization and the ability to manage priorities in a busy setting.
- A commitment to confidentiality and to inclusive, affirming care.
- Experience supporting trans, non‑binary, or gender‑diverse communities is an asset.
- Ability to handle sensitive patient information with confidentiality and professionalism.
- Competency in other languages is an asset but not required; French, ASL (American Sign Language), Spanish, Arabic, Hindi, Mandarin, Punjabi, Ukrainian preferred.
- The following training/certifications are preferred: First Aid and CPR, Workplace Hazardous Materials Information System (WHMIS), Non‑Violent Crisis Intervention (NVCI), competency in trauma informed and harm reduction principles.
