We cater to exclusive, medium-scale retreat bookings (minimum 15 guests). At the heart of our property, our regenerative farm brings every event to life—supplying our kitchen with fresh, seasonal produce and brightening our retreat spaces with vibrant floral arrangements year-round. The Role
As our Events & Retreats Coordinator, you are the main point of contact and coordinator for our guest operations. You will manage the end-to-end journey for our clients, blending sharp administrative precision with warm, authentic relationship building. Splitting your time between detailed advance planning and dynamic on-site coordination, you will ensure every retreat and corporate meeting is executed flawlessly.
Key Responsibilities
- Client Relationship & Inquiry Management - act as the primary, welcoming voice of TBCC, managing the phone and email inquiry lines promptly and professionally. Serve as the dedicated point of contact for clients before and during their stay, working closely with internal teams to ensure all custom requests and operational details are seamlessly handled. Opportunity to expand responsibilities into retreat sales based on experience.
- Event Planning & Logistics - coordinate advanced logistics for incoming retreat groups and corporate day meetings. Manage complex accommodation lists, master booking schedules, and reservations. Compile and distribute comprehensive event briefing notes, aligning each TBCC team—including caretaking, housekeeping, and catering— to uphold our shared values of proactive collaboration, mutual respect, and flawless execution.
- Financial Administration & Contract Management - prepare, issue, and manage client booking agreements and detailed invoice estimates. Track incoming deposits, process final invoices, and diligently manage accounts receivable/payable. Liaise with client accounts payable departments to ensure seamless, timely payments.
- On-Site Operations & Experience Facilitation - conduct meticulous on-site preparations before guest arrivals, including accommodation room checks. Partner with the Facilities team and direct meeting room setups, lawn games, indoor and outdoor amenity preparations. Liaise with our Farm team for guest tours of our regenerative farm. Provide light "touch-up" hospitality of meeting spaces and washrooms during breaks to maintain our premium standards. Cross-communicate effortlessly with all TBCC departments and hand off detailed briefs to the "Day-Of" Host when you are off-duty. The ideal candidate would be amenable to expand responsibilities to include some light housekeeping if required.
What You Bring to the Team
Exceptional organisational skills and proficiency with Google Suite (shared Docs and Sheets) and email management. You love a frequently updated spreadsheet. You can balance desk-based admin and financial tasks with active, on-your-feet event hosting and guest relations.
Stellar written and verbal communication skills. You can hold your own with executives and coordinators alike, ensuring seamless and consistent service across catering, farm and florals, housekeeping, operations, and facilities teams.
Experience in high-end guest relations, paired with a proactive, solutions-oriented approach. You possess a strong eye for detail, anticipate needs effortlessly, and approach every interaction with reverence, equanimity, and authentic care for our guests and community.
