Duties & ResponsibilitiesCustomer Service
- Greet customers promptly and collect prescription information in accordance with Standard Operating Procedures (SOPs)
- Prioritize tasks based on assigned roles and daily workflow requirements
- Refer all clinical inquiries to the pharmacist, including questions related to medications (Rx, OTC, restricted products), conditions, and professional services
- Set clear expectations for wait times and communicate effectively with customers
- Process prescription pick-ups and complete transactions accurately
- Provide accurate, SOP-compliant information and resolve customer concerns, escalating to the pharmacist when required
- Direct customers to relevant educational materials as appropriate
- Ensure patients requiring counseling are referred to the pharmacist in a timely manner
- Maintain and manage the dispensary cash register in accordance with policies
- Handle customer inquiries both in person and over the phone
- Adhere strictly to confidentiality and privacy regulations
Administration
- Receive and process new and refill prescription orders in line with SOPs
- Prepare and submit orders for medications and OTC products (excluding controlled substances)
- Process third-party billing claims and manage accounts, including collection of outstanding balances
- Answer phone calls professionally and refer inquiries to the pharmacist when necessary
- Support physicians and clinics with orders and ensure timely delivery coordination
- Manage incoming faxes according to pharmacy standards
- Assist pharmacists with patient follow-ups and callbacks
- Identify patients who may benefit from additional pharmacy services and provide administrative support
- Communicate with physician offices as required and maintain proper documentation
- File and organize records accurately and efficiently
- Generate reports as needed
Front Shop & Merchandising
- Order and maintain non-prescription inventory, including stock rotation and expiry management
- Assist with opening and closing procedures (security panels/gates)
- Update and maintain patient education and promotional signage
Prescription Workflow
- Support prescription preparation in accordance with professional and company standards
- Perform data entry for new prescriptions and manage refill processing
- Adjudicate claims with third-party payers and resolve discrepancies
- Select medications based on prescriptions and preferred product guidelines
- Accurately count, measure, package, and label prescriptions, ensuring complete documentation
- Assist in compounding, reconstitution, or mixing under pharmacist supervision
- Accept prescriptions in person or via telephone
- Maintain accurate records within pharmacy systems
- Troubleshoot technical issues with IT or third-party providers as needed
- Ensure proper prioritization of prescriptions within workflow
- Include all necessary documentation with each prescription
Inventory Management
- Assist in coordinating compounding lab schedules
- Support inventory control under pharmacist supervision
- Ensure proper storage and organization of medications
- Maintain inventory systems and ensure timely replenishment
- Receive, unpack, and store pharmacy inventory securely
- Manage narcotic inventory under direct pharmacist supervision
- Process returns and expired products according to protocol
- Handle product recalls by isolating and quarantining affected items
- Maintain stock rotation and remove expired products
- Support preferred generic product management
- Perform regular cycle counts in line with SOPs
General Responsibilities
- Support pharmacists to enhance the overall patient experience
- Maintain a professional appearance and conduct at all times
- Assist with marketing initiatives and in-store promotions
- Stay updated with internal communications and implement required actions
- Demonstrate proficiency with pharmacy systems
- Follow all SOPs and comply with provincial and federal regulations
- Adhere to loss prevention policies
- Maintain a clean, organized workspace
Skills & Qualifications
- Diploma from a recognized Pharmacy Assistant program preferred
- 1–2 years of pharmacy experience preferred
- Retail experience considered an asset
- Experience in sterile and/or non-sterile compounding preferred
- Strong customer service skills with the ability to build patient relationships
- Excellent communication and interpersonal skills
- Proficiency in MS Office (Excel, Outlook)
- Nexxsys software knowledge considered an asset
- Strong organizational and multitasking abilities
- Effective problem-solving skills
- High attention to detail
- Minimum 2 years of experience as a Pharmacy Technician preferred
