Quadra Industrial Group is looking for an office accounting assistant for their machining and fabrication shop in Hinton. This is a full time permanent office position working Monday-Friday 8am -430pm. We are open to applicants that would like part time work as well, as the position can be flexible with hours as long as the work is completed.
Reporting to the Shop Manager and Owners, duties include, but are not limited to:
- Greet and assist all incoming customer inquiries at the front desk, phone or via email as the primary point of contact
- Open Work Orders and maintain control until they are closed and invoiced, including data entry of invoices in to Quickbooks.
- Review timesheets, update Work Orders daily, ensuring all work and materials are accounted for daily
- Follow up on status of work progress to ensure it will be ready as promised.
- Advise customers of the status of work and any delays when required.
- Contact customers when additional work is required and ensure that extra work is authorized.
- Work with Shop Manager or staff to provide accurate quotes on costs of work as required.
- Review Work Orders to ensure all charges are accounted for, are fair, and that all materials and shop supplies are accounted for.
- Responsible for inventory stock monitoring, re-ordering and special orders, maintaining a Purchase Order and Inventory system.
- Schedule deliveries to and from vendors/customers
- Process Accounts Payable, including checking packing slips to match to Purchase Orders.
Preference will be given to the following candidates:
- From the local area, with strong planning and organizational skills, previous experience as a shop service writer, office or accounting assistant and/or business training or experience.
