We are a third generation, family-owned business with technicians bringing years of knowledge to facilities across Ontario. We are currently seeking an enthusiastic, knowledgeable PROJECT ADMINISTRATOR to join our team. This is a fantastic full-time opportunity suitable for a highly organized and customer-focused Project Administrator to support our Project Department. This position is ideal for someone who thrives in a fast-paced environment, enjoys helping customers, and takes pride in keeping projects organized from start to finish.
As the first point of contact for many of our customers, you will play a key role in providing exceptional customer service while supporting project coordination, scheduling, documentation, and administrative functions.
Key Responsibilities
- Answer incoming calls and provide professional, friendly customer service.
- Respond to customer inquiries by phone and email in a timely manner.
- Coordinate with customers, technicians, suppliers, and internal departments to ensure projects progress smoothly.
- Create, update, and maintain project files and documentation.
- Prepare estimates, purchase orders, work orders, and invoices as required.
- Accounts Receivable for progress draws and overdue accounts.
- Enter and maintain accurate information within company software systems.
- Monitor project progress and follow up on outstanding items.
- Schedule appointments and coordinate project-related activities.
- Assist with ordering materials and tracking deliveries.
- Process paperwork accurately and maintain organized electronic and physical filing systems.
- Support the Project Manager with daily administrative tasks.
- Collaborate with other departments.
- Perform general office duties and provide administrative support to other departments as required.
Qualifications
- Previous experience in an administrative, project coordination, or customer service role.
- Exceptional customer service and communication skills.
- Friendly, professional, and confident telephone manner.
- Strong organizational and time management skills with excellent attention to detail.
- Ability to prioritize multiple tasks and work independently.
- Proficient with Microsoft Office (Word, Excel, Outlook).
- Experience with QuickBooks Online (QBO) is considered a strong asset.
- Experience in construction, industrial service, or a project-based environment is an asset.
