Overview
We are seeking an energetic and highly organized Executive Administrator to join our team. In this vital role, you will provide comprehensive administrative support to ensure smooth daily operations, manage communications efficiently, and assist with various clerical functions. Your proactive approach and attention to detail will help drive our company's success and enhance our professional environment.
Responsibilities
Executive Support
- Manage executives' calendars, appointments, meetings, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare agendas, presentations, reports, and meeting materials.
- Coordinate executive schedules.
Office Administration
- Oversee the day-to-day administrative operations of the office.
- Maintain organized physical and electronic filing systems.
- Manage office supplies, equipment, and vendor relationships.
Communication & Coordination
- Act as the primary liaison between executives, employees, clients, vendors, and external stakeholders.
- Draft professional correspondence, executive communications, and company announcements.
- Coordinate internal meetings, board meetings, and company events.
- Facilitate communication and collaboration across departments.
Document & Records Management
- Prepare contracts, reports, presentations, and confidential documents.
- Maintain accurate company records and documentation.
- Ensure confidentiality of all executive and corporate information.
Project & Administrative Coordination
- Support executive projects and strategic initiatives.
- Monitor deadlines, deliverables, and project milestones.
- Coordinate cross-functional activities and follow up on action items.
Financial & Administrative Support
- Process executive expense reports and reimbursements.
- Assist with budget tracking, invoice processing, and purchasing.
- Coordinate vendor payments and procurement requests when required.
Human Resources Support
- Maintain HR administrative records and employee files.
- Assist with employee engagement initiatives and company events.
Compliance & Confidentiality
- Handle highly confidential information with discretion and professionalism.
- Ensure compliance with company policies and applicable regulations.
- Support internal audits and document management.
Qualifications
- Bachelor’s degree in business administration, Management, or a related field.
- Minimum 3–5 years of Executive Administration or Executive Assistant experience supporting senior leadership.
- Advanced proficiency in Microsoft Office 365 (Excel, Word, PowerPoint, Outlook).
- Experience with ERP, CRM, or HRIS systems is considered an asset.
- Excellent organizational, multitasking, and problem-solving skills.
Additional Requirements
- Excellent written and verbal communication skills.
- Must reside in or be able to commute to York Region, including Aurora, Richmond Hill, Markham, Vaughan, or North York.
- Ability to work on-site in a fast-paced executive environment.
Pay: $50,000.00-$60,000.00 per year
