About the Role
Cari Burdett is an independent vocalist, songwriter, community choir director, nature-based educator, and the founder of Lila Music & Nature Centre. We are seeking an organized, creative, and dependable Executive Assistant and Marketing Coordinator to help manage the many moving parts of Cari’s music, community programs, events, and land rentals.
This is a varied position for someone who enjoys organization, communication, social media, creative projects, and supporting meaningful community-based work. The role requires initiative, attention to detail, good judgment, and the ability to follow through on tasks independently.
Main ResponsibilitiesExecutive and Administrative Support
- Draft and respond to professional emails.
- Maintain clear calendars, task lists, folders, and tracking spreadsheets.
- Keep records accurate and up to date across all areas of the business.
- Monitor deadlines and follow up with Cari, contractors, venues, sponsors, and other contacts.
- Organize information in Google Drive so documents are easy to find.
- Help Cari prioritize urgent tasks and ensure projects are completed on time.
- Communicate regularly with Cari to confirm decisions and receive approval when needed.
Music and Artist Administration
- Support the release and promotion of Cari’s album, music, concerts, and tours.
Social Media and Content
- Create and publish at least two strong social media posts or Reels each week, with more frequent posting during releases and event campaigns.
- Maintain an organized content calendar with posts prepared in advance.
- Promote Cari’s music consistently through Instagram and Facebook.
Marketing and Advertising
- Prepare monthly Valley Voice listings by updating the previous month’s format.
- Promote programs through newsletters, community calendars, local media, posters, Facebook groups, and other appropriate channels.
- Contact newspapers, radio stations, community organizations, and local media well before concerts and events.
- Support advertising for:
- Album releases and concert tours
- Winter Solstice Music concerts
- Community choir sessions
- Weekly and monthly nature programs
- Summer camps
- Voice lessons when needed
- Fire Within, sound baths, retreats, and special events
Graphic Design
- Create simple, attractive promotional materials using Canva or similar software.
- Design social media graphics, posters, event listings, article features, and sponsor thank-you posts.
Land Rentals and Guest Communication
- Monitor and respond to Airbnb and Vrbo booking inquiries and guest messages.
- Manage occasional private rental inquiries received through email.
- Maintain the Lila Land Rental tracking sheet.
- Send private renters the current forms for :
- Rental guidelines
- Land rules
- Guest information form
- Cancellation policy
- Deposit and payment instructions
- Confirm that forms and deposits have been received and update each booking’s payment and confirmation status.
Financial Tracking
- Maintain clear spreadsheets for all income and expenses.
- Track finances separately for music, concerts, nature programs, choir, rentals, merchandise, special events, and Winter Solstice Music.
- Save and organize invoices, receipts, quotes, deposits, and payment records.
- Keep records ready to share with Cari and a future bookkeeper.
- Follow up on outstanding invoices or payments when requested.
Qualifications
The ideal candidate will have:
- Excellent organizational and time-management skills.
- Strong written communication and professional email skills.
- Experience using Google Drive, Google Docs, Google Sheets, Gmail, and online calendars.
- Experience with Instagram, Facebook pages, Facebook events, and Reels.
- Basic graphic-design experience using Canva or similar software.
- Confidence creating and maintaining spreadsheets.
- Strong attention to detail and consistent follow-through.
- The ability to work independently while knowing when to ask for approval.
- A warm and professional approach to guests, families, musicians, venues, and community partners.
- Comfort managing several projects and deadlines at once.
- An interest in music, community arts, nature education, or event production.
Experience with Airbnb, Vrbo, newsletters, event promotion, bookkeeping, artist management, or venue booking would be helpful but is not required.

- Reliable access to a computer, phone, and internet.
- Flexibility to work additional hours before album releases, concerts, camps, and seasonal events.
- Respect for confidentiality and personal information.
Who This Position Would Suit
This role would suit someone who is practical, creative, self-motivated, and genuinely enjoys helping ideas become organized and completed. You should be comfortable moving between administrative work, guest communication, social media, event planning, spreadsheets, and creative promotion.
Because Cari manages several connected projects, the successful candidate must be able to see the larger picture while carefully tracking the small details.
