Job Summary:
We are seeking an organized and detail-oriented Office Assistant to support our administrative team. In this role, you will handle clerical tasks, manage front desk operations, and provide reliable customer service. The successful candidate will possess strong computer skills, familiarity with office software, and the ability to multitask efficiently.
Duties:
- Greet visitors and answer multi-line phone systems with professionalism and courtesy.
- Manage front desk responsibilities, including scheduling appointments and checking in clients.
- Perform accurate data entry using Microsoft Office, Google Workspace, and QuickBooks.
- Maintain organized filing systems both electronically and physically for easy retrieval.
- Support basic bookkeeping and financial record-keeping tasks.
- Assist with document proofreading, editing, and internal organization.
- Provide customer support via phone and email, maintaining excellent communication standards.
- Handle general administrative tasks such as copying, scanning, and mailing documents.
- Monitor and manage office supplies to ensure smooth day-to-day operations.
- Coordinate with team members to ensure efficient workflow across departments.
Requirements:
- Proven experience in an office administration, clerical, or assistant role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Practical experience or familiarity with QuickBooks or basic bookkeeping software.
- Excellent organizational skills with keen attention to detail and strong proofreading abilities.
- Demonstrated data entry skills with reliable typing accuracy and speed.
- Prior experience managing a front desk or operating multi-line phone systems.
- Strong customer service skills and professional phone etiquette.
- Ability to prioritize tasks effectively and multitask in a busy environment.
- Experience in a medical or dental office setting is considered an asset but is not mandatory.
