We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but we welcome candidates with relevant clerical and administrative experience. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately with professional phone etiquette
- Schedule appointments and maintain calendars using Microsoft Office, Google Workspace, or specialized scheduling software
- Perform data entry and maintain accurate records using QuickBooks or other accounting tools when necessary
- Handle incoming and outgoing correspondence, including filing, scanning, and organizing documents
- Assist with administrative tasks such as proofreading, typing, and document preparation
- Support customer service efforts by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a welcoming atmosphere
- Perform basic bookkeeping tasks related to billing or invoicing as needed in QuickBooks or similar platforms
- Collaborate with team members to ensure efficient office operations and support special projects as assigned
Experience
- Prior clerical or administrative experience preferred, especially in medical or dental offices
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with data entry, filing systems, and multi-line phone systems is highly desirable
- Strong organizational skills with attention to detail and accuracy in proofreading and typing tasks
- Excellent customer service skills with professional phone etiquette
- Familiarity with QuickBooks or bookkeeping software is a plus
- Ability to handle sensitive information discreetly and maintain confidentiality
- Previous experience in medical or dental office environments is advantageous but not required
