Experienced Client Service Assistant

Join our team as a Client Service Assistant, where you’ll play a key role in ensuring the smooth day-to-day operation of our office, providing top-notch administrative support, and fostering strong client relationships.
Key Responsibilities
Client Relationship & Reception
- Greet clients in person and by phone with a warm, professional demeanor
- Maintain a positive rapport that reinforces our firm’s commitment to excellence
- Respond promptly to client inquiries and resolve concerns with empathy and efficiency
Client Service & Follow-Up
- Process client requests accurately and swiftly
- Follow up on outstanding items and prospective client inquiries
- Ensure seamless communication between clients, advisors, and Head Office
Administration & Compliance
- Review applications for completeness; obtain missing information as needed
- Set up investment accounts; process deposits and trades
- Handle policy changes and ensure all documentation meets compliance standards
- Maintain an up-to-date understanding of regulatory requirements
- Manage mail, client correspondence, and database records with precision
- Oversee office supplies, records management, and general day-to-day operations
- Manage day to day office operations as required
Business Development & Marketing Support
- Prepare client reviews, reports, and presentations in a timely manner
- Contribute to marketing campaigns, events, and business development initiatives
Professional Growth
- Participate in ongoing training and sponsored education to expand your knowledge and skills
Qualifications & Experience Required
- Minimum 3-5 years of experience in an administrative, client service, or operations role within the financial services industry
- Proven experience supporting advisors and servicing client accounts
- Strong working knowledge of investment and/or insurance administration processes
- Exceptional attention to detail and organizational skills
- Excellent verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and a proactive approach to client service
- Advanced proficiency with Microsoft Office applications
Preferred
- Experience using the Unifide operating system
- Experience with investment account administration and trade processing
- Knowledge of compliance and regulatory requirements within the financial services industry
- Completion of a university degree, college diploma, or industry-related designation
