Job Overview
The Administrative & Volunteer Coordinator is the welcoming first point of contact for clients, volunteers, donors, and community partners. This position combines reception, administrative support, volunteer coordination, and program support to ensure the smooth day-to-day operation of The Olive Tree Community Centre.
As the first voice on the phone and the first face at the door, this role plays an important part in creating a positive experience for everyone who connects with The Olive Tree. The position helps connect individuals with programs and services, supports volunteers, assists with community programming, and provides administrative support across the organization while maintaining a welcoming, professional, and compassionate environment.
Key responsibilities
- Provide reception and administrative support as the first point of contact for clients, volunteers, donors, and community partners by phone, email, and in person.
- Complete client intakes, schedule appointments, assist with program registrations, and share information about programs, services, and eligibility.
- Maintain accurate, confidential client and organizational records, prepare correspondence and meeting documents, and manage office supplies and deposits.
- Support data collection and reporting for programs and help coordinate communication across departments.
- Recruit, interview, onboard, and schedule volunteers for programs, events, and ongoing organizational needs.
- Maintain volunteer records including hours, waivers, police checks, and training, and coordinate volunteer appreciation activities.
- Provide logistical support for community programs, including registrations, room setup, supplies, and attendance tracking.
- Assist with outreach activities, and community events, including fundraisers and volunteer group activities.
Qualifications and skills
- Experience in administration, reception, or customer service in a non-profit or community setting is an asset.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfortable with data entry and basic reporting.
- Highly organized, dependable, and able to prioritize competing demands in a busy environment.
- Friendly, welcoming, and approachable, with strong communication and relationship-building skills.
- Calm and professional under pressure, self-motivated, and collaborative.
- Committed to client confidentiality and creating a compassionate, respectful, and inclusive environment.

Pay: $21.00-$25.00 per hour
