About the Role
As the Sample Coordinator, you will be responsible for managing the movement, organization, and tracking of product samples while supporting the Product Development and Production teams throughout the product lifecycle. Working closely with Product Development, Design, Production, Sales, Marketing, and external partners, you will ensure samples are shipped, received, organized, and available to support key business initiatives.
This is an excellent opportunity for someone highly organized, eager to learn, and interested in developing into a Product Developer. You'll gain hands-on exposure to the full product development process while working alongside an experienced team.
Please note this position is based in our Vancouver office and requires on-site attendance.
Responsibilities:
Sample Support:
- Coordinate inbound and outbound sample shipments between vendors, factories, warehouses, showrooms, head office, and external partners.
- Prepare shipping documentation, arrange courier bookings, and track shipments to ensure timely delivery.
- Maintain accurate sample inventory, shipment records, and tracking systems.
- Organize, label, store, and maintain seasonal samples in the office and showroom.
- Coordinate the distribution of marketing, sales, development, and top samples across departments.
- Prepare samples for photoshoots, showroom appointments, meetings, and events, including steaming, tagging, organizing, and post-event tracking.
- Serve as the primary point of contact for sample requests, providing updates on sample availability and delivery timelines.
- Support seasonal sample audits, inventory reconciliation, office/storage room organization, and additional cross-functional projects as required.
Product Development Support:
- Support the Product Development team throughout seasonal development and production across knitwear, t-shirts, fleece, hoodies, and other apparel categories.
- Assist with updating Tech Packs and PLM Centric to reflect changes to fit, construction, embroidery, graphics, washes, and trims.
- Coordinate and track updates to graphic artwork throughout the development process.
- Participate in product fittings by preparing garments, measuring samples, photographing prototypes, SMS, and PPS samples, documenting fit comments, and communicating revisions to factories.
- Assist with tracking fit approvals and ensuring all development updates are accurately reflected in technical documentation.
- Liaise with international development teams and factory partners to support sample development, resolve issues, and maintain seasonal timelines.
- Assist Product Developers with prototype reviews, sample approvals, line preparation, and seasonal development projects.
- Support the Product Development and Production teams with special projects and additional responsibilities as assigned.

Qualifications:
- 1–3 years of experience in apparel product development, production, or a related field.
- Diploma or degree in Fashion Design, Product Development, or a related discipline is preferred.
- Experience coordinating product samples, inventory, or apparel shipments.
- Basic understanding of garment construction, fit, fabrics, and apparel manufacturing processes.
- Experience updating Tech Packs, working in PLM systems (Centric preferred), or using Adobe Illustrator is considered an asset.
- Strong proficiency with Microsoft Excel and Microsoft Office Suite.
- Experience working with international vendors or factories is considered an asset.
- Ability to lift and move sample boxes up to 30 lbs. as required.
