We are seeking an energetic, dynamic Assistant to the CEO. You’ll be responsible for managing priorities and calendars, drafting communications, and providing a wide range of operational, administrative, and personal support. Our operations are largely on-site and as such, this role is in-office 5 days per week.
We’re a B Corp Certified eCommerce company and Canadian manufacturer of down, feather, and down alternative bedding products. We sell ethically-sourced duvets, pillows, and mattress toppers through our online store and to national and independent retailers, hotels, and interior design professionals.
As the Assistant, you will be responsible for:
Communications:
- Acting as the first point of contact for the CEO and his office.
- Screening calls and emails, responding to both routine and complex inquiries, and prioritizing for CEO’s attention.
- Attending meetings, preparing meeting materials and documents, taking minutes, and distributing minutes and action items.
- Composing and editing a variety of materials, including internal and external communications, correspondence, reports and presentations.
- Serving as liaison between the CEO and management, staff, and stakeholders, gathering and conveying relevant information.
- Supporting a positive company culture and helping to maintain strong relationships between the CEO and employees at all levels.
Operational Support:
- Supporting operational projects, including target and deadline tracking, flow of communication, communicating feedback to team members, and helping to remove obstacles where possible.
- Developing and leveraging relationships across departments to support inter-departmental coordination to achieve desired outcomes.
- Acting as a delegate for the CEO during absences; handling or forwarding issues wherever possible.
- Maintaining a strong, current understanding of business operations, objectives and challenges.
Office Administration:
- Filing, record-keeping, database management, and contact management.
- Purchasing supplies and coordinating office maintenance.
- Verifying invoices and preparing monthly expense reports.
- Coordinating events and employee engagement initiatives.
Calendar Management:
- Scheduling and coordinating professional and personal meetings, travel, appointments and reservations.
- Assisting with daily task management, managing changing priorities and competing deadlines.
Travel Arrangements:
- Booking flights, car rentals, accommodations and more for the CEO and for other team members as required.
Ad Hoc Projects & Errands:
- Maintaining flexibility to switch gears as situations and projects arise.
- Using all available resources to complete tasks or problem-solve across a variety of domains.

Requirements:

- Valid driver’s license and comfort driving regularly.

Pay: $75,000.00-$85,000.00 per year
