We specialize in the inspection, service, installation, monitoring, and repair of fire alarm systems, sprinkler systems, fire extinguishers, emergency lighting, and security systems for commercial, industrial, healthcare, institutional, and multi-residential clients.
As our company continues to grow, we are looking for an organized, detail-oriented, and customer-focused Route Administrator to join our team in Guelph.
This position is central to our day-to-day operations, ensuring technicians are efficiently scheduled, customers receive exceptional service, and inspection and service work is completed accurately and on time.
Position Summary
The Route Administrator provides administrative and scheduling support to our Route Manager and Field Technicians. This role coordinates inspection and service schedules, manages work orders and billing submissions, supports customers, and helps ensure the efficient operation of our service department.
The ideal candidate is highly organized, enjoys working in a fast-paced environment, communicates effectively, and takes pride in delivering exceptional customer service.
Key Responsibilities
- Assign open service calls and inspections to the appropriate Route Technician.
- Communicate daily work assignments and scheduling updates to the route team via email and internal systems.
- Coordinate with technicians to maximize productivity and route efficiency.
- Prepare and distribute scheduled work packages and supporting documentation for technicians.
- Process technician billing submissions and assist with service contract administration using our business management system.
- Provide professional telephone support and front-counter customer service.
- Maintain accurate customer, work order, and scheduling records.
- Update pricing system and prepare and distribute current price lists.
- Track and verify service department hours.
- Monitor completed work orders for accuracy and completeness.
- Assist the Route Manager and Shop Technicians with administrative and operational tasks as required.
- Perform other duties as assigned.
Qualifications & Requirements
The successful candidate will possess:
- Two-year diploma in Business Administration, Accounting, Office Administration, or a related discipline, or an equivalent combination of education and experience.
- Minimum two years of administrative, scheduling, dispatch, or customer service experience.
- Exceptional attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Strong customer service and interpersonal abilities.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Ability to work independently while contributing effectively as part of a team.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Experience using accounting, ERP, dispatch, or service management software is considered an asset (NetSuite experience is highly desirable).
- Previous experience in the fire protection, HVAC, mechanical, electrical, construction, or security industries is considered an asset.
