About the Opportunity
We are seeking an organized, detail-oriented, and motivated Project Coordinator to join our commercial construction team. The Project Coordinator plays a key role in supporting Project Managers and Site Superintendents by coordinating project documentation, tracking schedules, assisting with procurement, and ensuring projects are administered efficiently from pre-construction through closeout.
This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is looking to build a long-term career in commercial construction project management.
Key Responsibilities
- Provide administrative and project coordination support to Project Managers throughout all phases of construction projects.
- Assist with project startup, including preparing project files, document control systems, and project directories.
- Coordinate and track Requests for Information (RFIs), submittals, shop drawings, and project correspondence.
- Maintain accurate project documentation and ensure all records are current and organized.
- Assist in preparing contracts, purchase orders, subcontract agreements, and change orders.
- Coordinate material procurement and monitor delivery schedules.
- Prepare and distribute meeting agendas, minutes, and action item logs.
- Track project schedules and assist with schedule updates.
- Monitor project budgets by assisting with cost tracking, purchase orders, invoices, and progress billings.
- Assist with preparing monthly project reports and progress updates.
- Coordinate permit applications, inspections, and occupancy documentation as required.
- Support project closeout by collecting warranties, operation and maintenance manuals, as-built drawings, deficiency lists, and turnover documentation.
- Maintain effective communication with clients, consultants, subcontractors, suppliers, and internal project teams.
- Assist with ensuring compliance with company quality standards, contractual requirements, and project procedures.
- Support the implementation of company health and safety policies and project documentation requirements.
Qualifications
- Diploma or degree in Construction Management, Engineering Technology, Civil Engineering, Architecture, Business Administration, or a related field is preferred.
- Minimum 2–5 years of experience in commercial construction, project coordination, or construction administration.
- Knowledge of commercial construction practices, project documentation, and contract administration.
- Ability to read and interpret construction drawings and specifications.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and Teams.
- Experience using construction management software such as Procore, Bluebeam, Microsoft Project, or similar platforms is considered an asset.
- Valid Class 5 Driver's Licence.
