Position Summary: Serves as the communication link between the Manager and the drivers — in constant contact with drivers, assigning and sequencing routes, and resolving issues in real time so the Manager can focus on driving efficiency and tracking performance.
Key Responsibilities
- Act as the central communication link between the Logistics Manager and the driver team, staying in contact with drivers throughout the day.
- Assign, schedule, and sequence drivers to pickup and delivery routes based on availability, proximity, capacity, and customer priority.
- Plan and optimize daily routes to maximize on-time delivery, vehicle utilization, and fuel efficiency.
- Monitor delivery progress in real time (GPS/TMS), relay instructions and route changes, and keep drivers informed and supported.
- Proactively identify and resolve problems — delays, breakdowns, traffic, customer issues, and missed or failed deliveries — quickly and effectively.
- Communicate delivery updates, ETAs, and exceptions to customers and internal teams, and handle inquiries professionally.
- Maintain accurate dispatch records, driver logs, run sheets, and delivery documentation (BOL/POD) for billing and compliance.
- Manage driver availability, day-off rotation, and same-day/ad-hoc request coverage in coordination with the team.
- Verify all delivery and billing information is complete so orders are invoiced correctly and drivers are paid accurately.
- Track and report dispatch KPIs (on-time dispatch/delivery, utilization, cost per delivery) so the Manager can focus on efficiency and performance.
- Ensure compliance with transportation and safety regulations, including hours-of-service, vehicle checks, and DOT/local requirements.
- Coordinate with Shipping, receiving, the Yard Coordinator, and warehouse staff to ensure loads are staged and ready for on-time receipt and departure.
HACCP / Food-Safety Responsibilities
- Confirm and document that delivery vehicles are clean, dry, odor-free, pest-free, and at the correct temperature before dispatch, maintaining cold-chain compliance for temperature-sensitive product.
- Verify reefer set-points and pre-cooling before loading, and instruct drivers on temperature monitoring and maintenance in transit.
- Ensure correct segregation and handling instructions are communicated for allergen-containing, raw, and finished product loads.
- Maintain delivery and temperature records that support full traceability and recall readiness.
- Capture and report any in-transit food-safety deviation (temperature excursion, contamination, accident) and apply documented corrective actions.
- Reinforce driver food-safety, hygiene, and GMP practices for product handling during delivery.
- Complete required food-safety and HACCP awareness training.
Key Skills & Qualifications
- Experience in dispatch or logistics; strong knowledge of routing and dispatch/TMS software.
- Excellent communication, problem-solving, and multitasking skills; stays calm under pressure.
- Strong customer-service orientation; builds solid relationships with drivers and customers.
Pay: $50,000.00-$58,000.00 per year
