About the Role:
We are seeking a highly organized, proactive, and detail-oriented Office Administrator & Listing/Deals Coordinator to join our fast-paced real estate office. This hybrid role is ideal for someone who excels in multitasking, delivers exceptional customer service, and enjoys supporting both operational and marketing functions.
As the first point of contact for clients and visitors, you will represent our brand with professionalism and warmth. Behind the scenes, you will play a key role in managing administrative tasks, coordinating property listings, and assisting with marketing initiatives to ensure our listings are presented with excellence across all platforms.
Key Responsibilities:
Office Administration:
- Welcome and assist clients, agents, and guests with professionalism and a positive attitude
- Manage incoming calls and emails, providing timely and helpful responses
- Maintain office organization, schedules, and filing systems
- Perform accurate data entry and database management
- Support daily operations to ensure the office runs smoothly and efficiently
Listing/Deals Coordination:
- Accurately input and manage property listings on MLS and internal systems
- Collect and organize all required documentation from agents
- Schedule property photography, staging, signage installation, and open houses
- Monitor listing timelines to ensure timely and high-quality launches
- Track and report on listing activity, feedback, and marketing performance
- Ensure all listings remain compliant and consistent with branding standards
Marketing Support:
- Assist in creating and scheduling social media content
- Help design and distribute marketing materials for listings, events, and branding campaigns
- Collaborate on email communications and client outreach efforts
- Maintain an active and cohesive online presence across platforms including Realtor.ca, the brokerage website, and social media channels
Qualifications:
- Minimum 1 year of experience in an administrative or real estate office setting
- Strong written and verbal communication skills
- Proficiency in Google Workspace and Microsoft Office Suite
- Highly organized, self-motivated, and capable of managing multiple priorities
- Professional demeanour with a customer-focused mindset
- Keen attention to detail and commitment to meeting deadlines
