Established in 1970, Aventa Centre of Excellence for Women with Addictions is a leader in trauma-informed, gender specific, addictions treatment for women. Through a multi-disciplinary team approach, Aventa delivers a trauma-informed curriculum researched and written by Dr. Stephanie Covington. Aventa’s operating funding is provided through provincial and federal Governments; Aventa has been partnered with the Alberta government since 1971. Aventa is accredited with Exemplary Standing through Accreditation Canada.
Key Responsibilities
To be responsible for positively and effectively contributing to the Mission and Vision of Aventa Centre of Excellence for Women with Addictions. This means reflecting the value statements of respect, integrity, excellence and transparency in the work we do. The ability to collaborate with employees, students and volunteers in translating our purpose into our programs and services in a manner that serves our Clients’ needs. To responsibly support and model the Philosophy and Policies of Aventa.
As a Recovery Navigator with Aventa, a typical day may include:
· To operate a multi-line telephone system and provide clerical and general information support services
· To provide Administrative support to the Assessment and Admission Coordinator – as well reporting to them
· To provide information to potential Clients and professionals regarding Aventa’s programs and services and the Assessment and Admissions process
· To perform general receptionist duties
Administrative Responsibilities and Duties
1. Provide support to incoming calls and responding to voicemails and emails where necessary. This includes responding to general inquires and providing information on Aventa’s programs and the Assessment and Admissions process.
2. Applications – ensuring completion and create files.
3. Use database to ensure Client record is up to date.
4. Provides assistance for a wide variety of administrative projects including, but not limited to; statistic generating, filing, typing, printing and photocopying, laminating, labels, certificate preparation and similar items as required.
5. Maintain the organization of the Reception Area and staff area.
6. When covering for Holiday:
- Assist with booking, confirming and maintaining Client Assessments and/or Admissions schedules.
- Support with Client related administrative duties. This includes creation of ID badge, Client certificates
- Maintain the general filing system and file all correspondence
- Distribute incoming and post/redirect outgoing mail/faxes daily.
- Coordinate courier deliveries and pickups. This includes maintaining record of Client’s Medication Drop-Offs
- Order and maintain supplies. This includes office supplies and Clients Taxi Chits
7. Other duties as required.
Clinical Responsibilities and Duties
1. Provides individual support to Clients in order to navigate around Assessment and Admission of Client. This includes reviewing and ensuring completion of Applications, assists them with application and required document completion where necessary.
2. Support with coordination the inflow of clients on Admission
3. Welcomes and directs on-site visitors with a supportive and positive attitude, maintaining a high level of client-centered service.
4. Facilitates client transition to treatment, by liaising with internal programs to support in transitioning. This may include assisting the Admissions and Assessment team in providing information and support around developing and implementing harm reduction and relapse prevention interventions strategies to support potential clients.
5. Ensures proper documentation and management of Client files. This includes writing case notes, ensuring proper release of information records are in place, and protecting the confidentiality of Client records.
6. Attends team meetings and contributes actively to a positive and supportive team environment.
7. Communicates with Manager, Assessment Team, Addictions Counsellors, Residential Counsellors and McMan partners to ensure proper understanding of Client risks and critical aspects of the treatment plan relevant to the residential environment.
8. Participates in ongoing learning and supervision
- Reflects on practice and participates actively in performance reviews
- Sets and takes action toward goals
- Pursues practice knowledge and skill development in line with their job description, identified core competencies and indicators
- Participates actively in supervision with their Program Manager
9. Represents Aventa and its Clients well in the community.
10. Gathers and tracks data and information relevant to Client outcomes, statistics, evaluations and follow-up surveys.
Requirements:
- Degree and/or related experience in an Administrative support capacity with experience in a not-for-profit setting
- Demonstrated computer software and troubleshooting skills, proficient in the use of the Microsoft Suite applications.
- Ability to work well both independently and in a team environment Highly organized and motivated, able to work in a fast-paced work setting and meet deadlines.
- Familiarity with topics of trauma, addictions and mental health as well knowledge of services in Calgary area
- Able to deal with difficult situations and navigate grievances with confidence.
- Excellent interpersonal, communication, multitasking and time-management skills.
- Clear Criminal Record check and Child Welfare check and well as Federal Clearance is required upon hiring.
