Job Summary:
We are seeking a reliable, organized, and detail-oriented Property Management Field Assistant to support our property management operations. This role involves regular property visits, tenant communication, inspections, maintenance coordination, property onboarding, and assisting the management team in ensuring properties are maintained and operated efficiently.
Key Responsibilities:
- Conduct periodic property inspections to ensure properties are well-maintained and identify any maintenance or compliance concerns
- Complete move-in and move-out inspections and prepare detailed inspection reports
- Visit properties to assess conditions, take photos, document issues, and provide updates to the property management team
- Assist with onboarding new properties, including property setup, initial inspections, documentation, and coordination with owners/vendors
- Coordinate and follow up with maintenance contractors, service providers, and vendors
- Attend properties for repair appointments, maintenance checks, and service visits
- Verify completed work and ensure repairs meet company quality standards
- Communicate professionally with tenants regarding maintenance requests, appointments, and property-related concerns
- Deliver notices and important documents directly to tenants as required
- Assist with key drop-offs, key collection, lockbox setup, and property access coordination
- Manage and organize property keys and ensure proper tracking
- Monitor vacant properties and report any issues, damages, or safety concerns
- Assist with preparing properties for new tenants, including basic setup and readiness checks
- Support tenant move-in coordination and property access arrangements
- Maintain accurate records of inspections, maintenance activities, notices delivered, and vendor communication
- Provide regular updates and reports to the property management team
- Perform other field-related tasks as required
Requirements:
- Previous experience in property management, field services, maintenance coordination, or customer service is an asset
- Strong attention to detail and ability to identify property issues
- Excellent communication and professional customer service skills
- Ability to work independently and manage a daily schedule
- Strong organizational skills and time management abilities
- Comfortable using email, mobile applications, and digital reporting systems
- Basic knowledge of property maintenance and residential properties preferred
- Must have a reliable vehicle and be able to travel between different properties as required
- Valid driver’s license and proper vehicle insurance required
