,Job Summary
We are seeking a highly organized and proactive Office Coordinator to oversee daily administrative operations and support our team. The ideal candidate will possess strong communication, organizational, and team management skills, with experience in office administration, bookkeeping, and human resources. This role involves supervising staff, and ensuring efficient office workflows to contribute to the overall success of the organization.
Duties
- Implement new administrative procedures
- Review and evaluate new administrative procedures
- Delegate work to the office support staff
- Establish work priorities and ensure procedures are followed, and deadlines are met
- On a day-to-day basis, complete data entry, collect transactions, track debits and maintain/monitor financial records.
- Review data to ensure accuracy of data input and prioritize projects in order of importance
- Onboard clients and make sure full information has been provided to retain them and have follow-ups.
- Correspondence with customers for documentation and due dates.
- Data entry into the information filing system and recording minutes of meetings.
Experience
- Proven experience in office administration or clerical roles with demonstrated organizational skills
- Supervising experience is preferred, with a track record of team management
- Proficiency with QuickBooks for bookkeeping and payroll processing
- Prior experience with front desk operations and multi-line phone systems
- Knowledge of human resources functions, such as onboarding and employee record management
- Strong communication skills, including phone etiquette and professional correspondence
- Experience with office software applications (e.g., MS Office Suite) is required
- Familiarity with budgeting processes and vendor management practices is a plus
