Job Overview
We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to join our team. This role is vital in maintaining smooth office operations, managing financial records, and providing exceptional customer service. The ideal candidate will possess strong administrative skills, proficiency in accounting software, and excellent communication abilities to support our office functions effectively.
Duties
- Manage daily office operations
- Perform data entry with accuracy using Microsoft Office
- Handle bookkeeping tasks utilizing QuickBooks and other accounting software as well as use of Payworks
- Maintain organized filing systems for both digital and paper documents
- Provide customer support through phone etiquette, email correspondence, and in-person interactions
- Assist with billing, invoicing, and payment processing
- Support administrative tasks such as proofreading documents, scheduling appointments, and managing calendars
- Ensure the office environment is professional, welcoming, and efficiently organized
- Coordinate with team members to ensure smooth workflow and communication across departments
Qualifications
- Proven experience in office administration or clerical roles, preferably within an interior design firm setting
- Strong proficiency in QuickBooks, Microsoft Office Suite, Google Workspace, and general computer skills. Proficiency in Adobe CS required
- Experience with data entry, filing systems, and administrative support functions
- Excellent organizational skills with keen attention to detail and accuracy in proofreading and typing
- Exceptional customer service skills with professional communication abilities
- Knowledge of bookkeeping principles and experience with billing or financial record management is preferred
- Ability to handle multiple tasks efficiently while maintaining a positive attitude
- Prior experience in an interior design firm is a plus
