Our client, a growing and well-established organization, is seeking an Accounting & Office Operations Coordinator to play a key role in supporting the finance function while helping create greater structure, accountability, and operational efficiency across the business.

About the Opportunity
This is much more than a traditional accounting role.
You'll serve as a trusted partner to leadership, supporting day-to-day accounting operations while helping improve office processes, employee onboarding, invoicing, collections, and overall workflow.

What You'll Be Responsible For
Accounting & Financial Operations
- Support daily accounting activities including Accounts Payable, Accounts Receivable, invoicing, collections, and general accounting administration.
- Monitor outstanding receivables and proactively follow up to improve cash flow.
- Assist with month-end processes, reconciliations, reporting, and financial documentation.
- Support Work-in-Progress (WIP), Cost of Goods Sold (COGS), and job costing activities.
- Maintain accurate financial records while ensuring compliance with company policies and procedures.
- Provide administrative support to the finance team and act as a backup resource when required.
Office Operations
- Coordinate daily office operations to ensure efficient workflows and communication.
- Support document management, file organization, office systems, and internal processes.
- Assist leadership with administrative projects and operational initiatives.
- Identify opportunities to streamline office procedures and improve overall efficiency.
- Help maintain an organized, collaborative, and professional office environment.
Employee Onboarding & HR Coordination
- Coordinate employee onboarding activities to ensure a positive and organized new hire experience.
- Prepare onboarding documentation, training schedules, and employee files.
- Support HR administration including policy acknowledgements, employee documentation, and record management.
- Assist with maintaining internal procedures and improving onboarding processes.
- Coordinate with managers to ensure new employees receive the tools and information needed for success.
Collaboration & Continuous Improvement
- Build strong working relationships across all departments.
- Support leadership by identifying process improvement opportunities.
- Assist with special projects as the business continues to grow.
- Help foster a positive, team-oriented office culture through strong communication and collaboration.
What We're Looking For
- 5+ years of progressive accounting and office administration experience.
- Strong understanding of full-cycle accounting, including Accounts Payable, Accounts Receivable, invoicing, reconciliations, and general accounting principles.
- Experience supporting cash flow through proactive collections and receivable management.
- Strong organizational and time management skills with exceptional attention to detail.
- Comfortable balancing multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Strong Microsoft Office skills, particularly Excel.
- Experience working with accounting or ERP systems.
- Ability to work independently while collaborating effectively with multiple departments.
- A proactive, solutions-oriented mindset with a willingness to take initiative.
- Professional, approachable, and team-oriented personality.
Preferred Qualifications
- Experience supporting a Controller or Finance Manager.
- Experience with job costing, Work-in-Progress (WIP), or Cost of Goods Sold (COGS).
- Experience coordinating employee onboarding or HR administration.
- Office management or operations coordination experience.
- Experience within construction, restoration, trades, manufacturing, or project-based industries is considered an asset.
- Experience working with ERP or project accounting systems is an asset.
