Reporting to the Controller, the Temporary Special Projects & Data Entry Assistant provides administrative support for a variety of organizational initiatives and special projects across the organization. This position assists with data entry, document preparation, records management, research, reporting, and other administrative functions that contribute to operational efficiency and organizational effectiveness. The Temporary Special Projects & Data Entry Assistant is highly organized, detail-oriented, adaptable, and proficient in a variety of computer applications and information systems. They demonstrate excellent organizational and time management skills, maintain confidentiality, and are able to manage multiple priorities while working both independently and collaboratively.
QUALIFICATIONS
1. Certificate or Diploma in Office Administration, Business Administration or a related field
2. Minimum three to five years of experience in office administration, records management, data entry, or a related administrative role.
3. Advanced computer and keyboarding skills including Microsoft Office skills in Word, Excel (pivot tables, VLOOKUP/XLOOKUP, formulas, filtering, data validation), Outlook and Teams.
4. Experience working with electronic document management systems (SharePoint, OneDrive, etc.).
5. Experience working with property management software; YARDI experience is considered an asset.
6. Experience working with databases, electronic records management systems, or other information management software.
7. Demonstrated accuracy and exceptional attention to detail with the ability to organize, prioritize, and manage multiple competing deadlines.
8. Excellent verbal and written communication, interpersonal, and customer service skills.
9. Demonstrated ability to maintain confidentiality, exercise sound judgment, and work with discretion.
10. Strong analytical, problem-solving, and critical thinking skills.
11. Ability to work independently with minimal supervision while contributing effectively as a member of a team.
12. Demonstrated flexibility and willingness to support a variety of departments and changing organizational priorities.
