Position Overview
The Administrative Assistant/Receptionist plays a crucial role in ensuring the smooth operation of our office. This position serves as the first point of contact for clients, visitors, and staff, providing a welcoming and professional atmosphere. In addition to front desk responsibilities, the role encompasses a variety of administrative tasks that support daily operations and enhance overall efficiency, and handling regular bank deposits, document deliveries, and other local runs as needed

Job Responsibilities:
- Assist with front desk operations by answering calls, greeting clients, and collaborating effectively with team members.
- Provide reliable coverage for the primary receptionist during vacations, absences, and peak periods to ensure seamless service.
- Overseeing file storage, organization, and retention compliance.
- Maintain a positive and professional rapport with clients and colleagues.
- Manage daily office runs as backup, including picking up food and drinks for meetings, distributing outgoing mail, making bank deposits, and ensuring timely delivery of important documents.
- Maintain a tidy and organized reception area.
- Perform a variety of administrative tasks and special projects as assigned by the department head.
- Coordinating office supply orders and inventory management.
- Overseeing file storage, organization, and retention compliance.
- Assisting with troubleshooting and initial resolution of basic technical issues.
Qualifications:
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Professional and friendly attitude with a commitment to providing outstanding customer service.
- Prior experience in an administrative or support role, preferably in a legal or professional services environment.
- Valid B.C. Driver’s license.
- Ability to handle confidential information with discretion.
- Intermediate skills with MS Word, Outlook, Excel.
