About the Position
We are looking for an organized and dependable Office Administrator and Order Coordinator to support our daily office and rental operations.
This position is mainly office-based. You will communicate with customers, process rental orders, prepare paperwork, coordinate with drivers and yard staff, assist with invoicing, and keep records organized.
Previous concrete formwork experience is not required. Training will be provided on our products and processes. Applicants must be comfortable with computers, basic math, measurements, detailed paperwork, and learning new information.
Responsibilities
- Answer customer phone calls and emails professionally.
- Process rental and material orders accurately.
- Record product sizes, quantities, delivery details, pickup information, and customer instructions.
- Prepare and organize order sheets for yard staff.
- Coordinate with customers, drivers, suppliers, and yard personnel.
- Review orders and identify missing or unclear information.
- Learn common concrete formwork products, sizes, and uses.
- Assist with project drawings and material lists after training.
- Prepare invoices and assist with payment tracking.
- Organize customer files, rental records, orders, and project documents.
- Help schedule deliveries, pickups, returns, and rental extensions.
- Use Microsoft Outlook, Word, Excel, PDFs, Google Drive, QuickBooks, and other office systems.
- Communicate questions or possible errors before orders are prepared or delivered.
- Provide general administrative support as needed.
Required Qualifications
- Previous experience in office administration, customer service, order processing, dispatch, logistics, invoicing, or a similar role.
- Strong basic math and measurement skills.
- Comfortable working with feet, inches, dimensions, quantities, prices, and dates.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Confident using computers and office software.
- Experience using Microsoft Outlook, Word, and Excel.
- Comfortable working with emails, PDFs, digital files, and cloud-based folders.
- Able to follow written and verbal instructions.
- Able to take clear notes and apply previous training.
- Able to manage several tasks while staying organized.
- Willing to ask questions when information is unclear.
- Reliable, punctual, and able to commute to our Langley location.
- Professional and respectful when working with customers and coworkers.
Experience Considered an Asset
Experience in any of the following areas is helpful but not required:
- Construction or building-material supply.
- Equipment or material rentals.
- Dispatch or delivery coordination.
- Warehousing, logistics, or inventory.
- Processing sales orders or purchase orders.
- QuickBooks, invoicing, accounts receivable, or bookkeeping.
- Reading construction drawings, measurements, or material lists.
Applicants without construction experience are welcome to apply if they have strong computer skills, basic measurement knowledge, good attention to detail, and the ability to learn technical products.
Training and Growth
Training will be provided on concrete formwork products, rental order processing, customer files, yard coordination, invoicing, and basic drawing review.
As you gain experience, there may be opportunities to take on additional responsibilities in estimating support, purchasing, inventory coordination, customer accounts, and bookkeeping.
A wage and performance review will be completed after the first three months.

Previous concrete formwork knowledge is not required.
