Job Summary
We are seeking a highly organized and detail-oriented Assistant to support our team in various administrative and operational tasks. The ideal candidate will possess strong communication skills and a proactive approach to problem-solving. This role involves assisting with project management, legal drafting, and conducting research, making it essential for candidates to be proficient in tools like Adobe and Officio.
Responsibilities
- Provide comprehensive administrative support to management and team members, including scheduling appointments, coordinating meetings, and managing calendars.
- Prepare, draft, proofread, and edit legal, business, and immigration-related documents to ensure accuracy, consistency, and compliance with applicable regulations.
- Assist with the preparation, submission, and tracking of Labour Market Impact Assessment (LMIA) applications and maintain confidential client files throughout the application process.
- Conduct legal, regulatory, and market research using LexisNexis and other online resources to support business operations and client matters.
- Create, schedule, and manage engaging social media content across multiple platforms, including Facebook, Instagram, LinkedIn, and TikTok, to promote the company's services and strengthen brand awareness.
- Develop marketing materials, promotional campaigns, and digital content aligned with the company's business objectives.
- Maintain accurate data entry, client records, and electronic filing systems while ensuring confidentiality and efficient document retrieval.
- Coordinate projects by monitoring deadlines, tracking progress, and following up with internal staff and external stakeholders.
- Communicate professionally with clients, government agencies, vendors, and business partners through telephone, email, and in-person interactions.
- Participate in recruitment activities, including reviewing resumes, coordinating interviews, and assisting with candidate evaluations.
- Support management with office operations, report preparation, correspondence, and other administrative duties as assigned.
- Ensure compliance with company policies, privacy requirements, and applicable employment and immigration regulations.
Qualifications
- Post-secondary education in Business Administration, Office Administration, Legal Administration, Marketing, Human Resources, or a related field is preferred.
- Minimum 2 years of administrative experience, preferably in a legal, immigration consulting, recruitment, or professional services environment.
- Mandatory experience preparing or assisting with Labour Market Impact Assessment (LMIA) applications, including knowledge of required documentation, recruitment compliance, and record management.
- Mandatory experience creating and managing social media content for business or professional organizations, including content planning, scheduling, and audience engagement.
- Strong legal drafting, proofreading, and document preparation skills with exceptional attention to detail.
- Experience using Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems; familiarity with Office 365 or similar software is an asset.
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines.
- Strong data entry skills with a high degree of accuracy and confidentiality.
- Experience coordinating projects and working independently in a fast-paced environment.
- Excellent written and verbal communication skills, professional telephone etiquette, and strong interpersonal abilities.
- Ability to maintain discretion when handling confidential information.
- Self-motivated, proactive, adaptable, and committed to delivering high-quality administrative support.
