Job Overview
We are seeking a dedicated and dynamic individual with strong property management background to join our team. The Assistant Property Manager works under the Property Manager and will be responsible for overall management and administration of extensive portfolios. Candidates must have minimum 3 years experience in Property Management, posses’ strong leadership & operational management skills, must be familiar with Yardi, able to multitask and work comfortably in a fast-paced environment. Facility management background would be an asset.
Duties
- To support the Property Manager in all facets of managing the portfolios to meet asset and property objectives
- Strong leadership and team building skills & able to work with all walks of life
- Manage both staff and tenants’ relations, respond to issues and implement solutions. Including development and training of staff to effectively deliver exceptional service
- Ensure staff compliance with company policies and procedures
- Manage employee timekeeping, payroll, vacations, ensure performances are properly executed and assist Property Manager with their annual reviews
- Process monthly rent roll reports
- Respond to emergencies, including occasional after-hours calls, meetings and projects
- Regular site inspections to ensure company standards are adhered to and meet all legal requirements as well as company standards
- Oversee the inspection of all projects to ensure quality of work from contractors meet company standards and to the agreed upon specifications
- Assist in coordinating all audits/processes such as procurement of goods and services, WCB, insurance, rent collection, incident reports, etc.
- Monitor annual expenses by creating logs / spreadsheets for analysis to help mitigate unnecessary spending and allocate resources efficiently
- Recommend and manage capital projects, building improvements, leasehold improvements, ensuring cost effective operations
- Ensure information/reports provided to management is accurate and completed in a timely manner
- Prioritize tasks to meet deadlines effectively
- Liaise with leasing and administration team on items pertaining to the portfolio when required, i.e. showing units, answering calls/ emails, etc.
- Perform all administrative functions relating to property management, including contractual requirements such as tenant lease and maintenance contracts
- Assisting with budget preparation, quarterly variance reports and any other reports as required
- Responsible for all receivables, ensuring rent, charge backs, P.O and invoicing is collected in a timely manner
- Monitor maintenance stock and equipment/ tools, ensuring safety procedures are adhered
- Assist in Health & Safety for best practices, ensuring safe environment for all staff and residents
- Propose and implement procedural improvements where appropriate
- Organize and participate in the annual tenant appreciation BBQ, Halloween Haunted House, staff meetings and all celebratory gatherings
Qualifications
- Minimum 3 years Property Management experience
- Pursuing Property Management designation is an asset, such as RPA, FMA or CPM
- Post-secondary education
- Strong understanding of accounting and able to interpret financial data
- Strong technical / organizational skills, able to multitask & work well under pressure
- Flexible, dedicated and able to work independently and collaboratively with others
- Proficiency in Excel, Microsoft and Yardi Integrated software
- Excellent customer service skills with a focus on building positive relationships.
- Strong negotiation skills to handle lease agreements and tenant relations.
- Detailed oriented, able to work under pressure and deliver timely accurate results
- Adaptable to new ideas and constant changes
- Effective communication skills, both verbal and written
Job Type: Full-time
Pay: $70,000.00-$75,000.00 per year
