ABL- ACES Division is currently hiring for the position of Administrative Assistant. To independently and professionally work within established office policies and procedures while providing expedient support services for the General and Quality Assurance Managers and also the Operations Supervisor.
Duties and Responsibilities
The incumbent is responsible for supporting Company objectives as related to word processing and, in some cases, composing of internal and external correspondence, safety, quality, training, purchasing, and financial documentation where required. The incumbent works closely with the Quality Manager in the maintenance of the Quality System. Additional responsibilities include purchasing, invoicing, filing, maintaining petty cash, attending to visitors as required, coordinating plant functions and answering incoming telephone calls as required. The Administrative Assistant is also responsible for general organization of office facilities and maintenance of office equipment. The Administrative Assistant may also be required to perform special tasks or projects at the request of the General Manager including operations expense maintenance, budgets and presentations.
Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
- Organize and maintain filing systems—both digital and physical—to ensure quick access to important documents
- Provide exceptional customer service by supporting client inquiries via phone, email, or in person, ensuring a positive experience
- Assist with clerical tasks such as proofreading documents, scheduling appointments, and preparing correspondence
- Support medical or dental office operations by handling patient records, appointment scheduling, and insurance documentation if applicable
- Conduct general office duties including supply management, photocopying, scanning, and maintaining a clean and organized workspace
Experience
- Proven clerical experience in an office setting with a strong emphasis on organizational skills and multitasking abilities
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for daily operations
- Prior customer service experience demonstrating excellent communication skills and professional phone etiquette
- Knowledge of data entry procedures with high accuracy and attention to detail
- Strong computer skills including proficiency in filing electronic records, proofreading documents, and managing multi-line phone systems
