Clifton is currently searching for an Administrative Assistant on a 14-month contract basis.
This role is responsible for accurate and timely data entry, invoice preparation and processing, accounts payable and accounts receivable support, document management, and other general administrative duties that help keep the Finance function organized and operating efficiently.
This is a great opportunity for someone who is organized, detail-oriented, comfortable working with numbers and financial information, and enjoys supporting a busy team. The successful candidate will be able to manage routine tasks independently while working collaboratively with Finance and other teams across the organization.
Key Responsibilities
- Assist with the preparation, entry, review, and processing of customer and vendor invoices.
- Process accounts payable transactions, including entering invoices, verifying supporting documentation, and preparing items for approval and payment.
- Support accounts receivable activities, including invoice preparation, payment entry, account updates, and follow-up on outstanding information and overdue payments, as required.
- Enter and maintain accurate financial and project-related information withing company systems.
- Assist with reconciling transactions and identifying or following up on discrepancies.
- Maintain organized and complete supporting documentation for financial transactions.
- Provide general administrative support to the Finance Team, including document preparation, filing, scanning, and electronic records management.
- Assist with compiling information, reports, spreadsheets, and other documentation.
- Respond to routine internal inquiries and coordinate with employees, vendors, and clients to obtain required information.
- Ensure compliance with Clifton’s policies, accounting principles, and relevant regulations.
- Support other administrative and Finance-related projects, as assigned.
Required Qualifications and Experience
- High school diploma or equivalent; Certificate, diploma, or coursework in business administration, accounting, finance, or a related field is an asset.
- Previous administrative, accounts payable, or finance support experience is preferred.
- Strong data-entry skills with a high level of accuracy and attention to detail.
- Comfortable working with numbers, invoices, spreadsheets, and financial information.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with accounting, ERP, or financial software is an asset.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
- Clear and professional written and verbal communication skills.
- Ability to handle confidential and sensitive information appropriately.
- Continued attention to safety and safe work environments, with a strong workplace safety focus.
