ABOUT THE ROLE
We are looking for a reliable, organized, and customer-focused individual to join our team as an Office & Administrative Coordinator. This role is ideal for someone who enjoys helping people, can think on their feet, and is comfortable managing multiple tasks in a busy environment. You will be the first point of contact for our clients and a key support for our operations team. This is a hybrid position, offering a balance of office collaboration and remote flexibility.
KEY RESPONSIBILITIES
Reception & Customer Service
- Answer incoming calls and assist customers in a professional and friendly manner
- Respond to emails in a timely and organized way
- Assist walk-in customers with inquiries and service requests
Scheduling & Coordination
- Schedule quotes, service calls, and installations
- Coordinate with technicians, suppliers, and clients
- Maintain accurate records in scheduling and job management systems
Administrative Support
- Prepare and follow up on quotes and work orders
- Process orders, invoices, and payments
- Provide general office support, including filing and organization
- Assist in maintaining cleanliness of the office, lunchroom, and washroom areas

QUALIFICATIONS
- Minimum high school diploma
- Previous administrative or customer service experience preferred
- Experience in construction, trades, or service industries is an asset
- Proficient with computers, email, and basic office software
