Digital Systems & Office Coordinator
Position Summary
The Digital Systems & Office Coordinator plays a central role in supporting the organization’s day-to-day operations, with a primary focus on website maintenance, digital tools, and basic internal IT support. This position helps keep the organization’s digital presence current and effective, provides first-level assistance with common office technology issues, and supports smooth coordination with external service providers and internal systems. In addition, the role provides general office administration and light bookkeeping support, including donation processing, receipting, recordkeeping, and other operational tasks. Some financial and administrative processes can be taught to a candidate with strong digital and technical aptitude. This position reports to the Finance Manager.
Key Responsibilities
· Update and maintain website content, postings, and basic web information to keep content current, accurate, and aligned with organizational needs.
· Provide basic internal IT coordination, including first-level troubleshooting, tracking support requests, liaising with vendors, and helping staff with common office technology issues.
· Support the effective use of digital tools, office systems, and records by helping maintain organized and reliable internal processes.
· Provide day-to-day office administration support, including preparing meeting agendas, taking minutes, filing, scanning, and maintaining records.
· Answer and direct incoming phone calls, respond to general inquiries, and relay messages promptly.
· Greet customers, donors, volunteers, and visitors in a professional and welcoming manner.
· Accept and process donations over the phone and in person with accuracy, confidentiality, and excellent customer service.
· Support charitable receipting and donation documentation in accordance with internal procedures.
· Maintain accurate financial and donor-related records using the donor CRM.
· Assist the Finance Manager with light bookkeeping tasks such as data entry, monthly cheque runs, deposit preparation, and documentation organization.
· Order and maintain office supplies and coordinate routine office needs.
· Support special projects, mailings, and event-related administrative duties as required.
Qualifications
· Core requirements: Strong digital literacy and confidence learning and supporting technology, systems, and office software.
· Experience with website content updates, website administration, or maintaining digital content using a content management system or similar tools.
· Comfort providing basic technology troubleshooting and coordinating IT-related issues with staff and external vendors.
· Proficiency with Microsoft Office, especially Word, Excel, Outlook, and Teams.
· Strong organizational, communication, and time-management skills, with the ability to balance multiple priorities.
· Professionalism, discretion, and the ability to maintain confidentiality.
· Assets: Certificate, diploma, or equivalent experience in office administration, business, information technology support, digital communications, bookkeeping, or a related field.
· Experience in office administration, customer service, donor services, or nonprofit operations.
· Experience with donor CRM, accounting, receipting, or bookkeeping systems.
· Strong attention to detail and accuracy when handling records, donations, and financial documentation.
· Candidates with strong web and technology skills are encouraged to apply even if their bookkeeping experience is limited, as some financial and administrative processes can be taught.
This position is a 0.75 FTE role with a guaranteed minimum of 26 hours per week. Additional hours may be required at certain times during the year, primarily from January through May. Salary range is $38,000 – $48,000 annually, commensurate with qualifications and experience.
