Job Summary:
Accounting and Financial Support
- Manage day-to-day bookkeeping and accurately record financial transactions.
- Process accounts payable, including reviewing invoices, obtaining approvals, entering invoices, and preparing payments.
- Manage accounts receivable, including preparing invoices, monitoring outstanding balances, and following up on overdue accounts.
- Assist with bank and credit card reconciliations.
- Support payroll processing and maintain accurate payroll-related records.
- Prepare and maintain accounting schedules, expense reports, payment records, and supporting documentation.
- Assist the Head Accountant with month-end and year-end closing activities.
- Support the preparation of financial reports, budgets, cash-flow information, and account reconciliations.
- Maintain organized financial records and ensure that all supporting documents are properly filed.
- Assist with GST filings, audits, government reporting, and other accounting or compliance requirements.
- Communicate with employees, vendors, clients, and service providers regarding invoices, payments, expenses, and account inquiries.
- Ensure compliance with the Company’s accounting policies, approval procedures, and internal controls.
Office Coordination and Administration
- Oversee day-to-day office operations and maintain a professional, organized, and welcoming office environment.
- Monitor inventory levels and order office, kitchen, and laboratory supplies as required.
- Provide administrative support, including data entry, document preparation, filing, scanning, and report formatting.
- Support the organization of company events, meetings, conferences, and employee activities.
- Assist with HR administrative activities, including scheduling interviews, onboarding new employees, and maintaining employee records.
- Maintain confidential company, employee, and financial information.
- Undertake additional administrative, accounting, and operational tasks as assigned by management.
Qualifications
- Diploma or degree in Accounting, Business Administration, Finance, or a related field.
- A minimum of two years of experience in bookkeeping, accounting, accounts payable, accounts receivable, payroll, office coordination, or administrative support.
- Practical knowledge of accounting principles and financial recordkeeping.
- Experience using accounting software such as QuickBooks, Sage, or a similar platform is preferred.
- Strong proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
- Strong organizational and time-management skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Professional, positive, energetic, and comfortable interacting with individuals at all levels of the organization.
- Strong problem-solving skills and the ability to work independently with limited supervision
Pay: $48,000.00-$58,000.00 per year
Ability to commute/relocate:
- Calgary, AB T2A 6A2: reliably commute or plan to relocate before starting work (preferred)
