Position Summary:
Reporting to the Operations & Accounting Director, the Event Coordinator supports the implementation of events and student engagement plan. This position is responsible for coordinating and delivering student-focused events hosted by the Students’ Association including social, cultural, recreational and educational initiatives at all RRC Polytech campuses that enhance student engagement and campus life.
The Event Coordinator organizes event logistics, supports successful delivery of events from preparation through completion, maintains event records and budgets and collaborates with the Executive Team, staff, vendors and campus partners to ensure engaging and well-executed events.
Key Roles and Responsibilities
Event Coordination:
- Work closely with the Operations & Accounting Director to review upcoming events, priorities and student engagement activities, supporting the implementation of the Students’ Association’s events and engagement plan.
- Coordinate and execute student events and activities for all campuses (including regional campuses) throughout the academic year.
- Maintain an up-to-date calendar of activities and events that is made readily available to students.
- Organize all event logistics including venue bookings, registrations, vendor relationships, event set-up and breakdown, post-event communications and other event-related activities.
- Support the delivery of recurring student engagement initiatives, including micro-events, the breakfast program and other similar activities.
- Attend events and provide on-site coordination and support.
- Other duties as assigned.
Administration:
- Track event expenses and ensure activities remain within approved budget.
- Maintain accurate records of all SA events and activities (including event proposals, budgets, contacts, contracts, media/publicity, and evaluations).
- Coordinate event registration process including participant tracking, communications and on-site logistics to support successful event delivery.
- Support all aspects of event set up, execution and breakdown, including coordinating with volunteers and event staff when required.
Education and Experience:
- Post-secondary education in Event Management, Marketing, Business or a related field or an equivalent combination of education and relevant experience
- Previous experience in planning and executing events, including logistics coordination, vendor management, registration and on-site event support
- Strong working knowledge of MS Office
- Excellent written and verbal communication skills with the ability to communicate effectively in English
Considered Assets or Preferred
- Experience working within a Student Association
- Experience supporting student engagement initiatives or campus programming
- Experience supporting event promotion or communications

Working Conditions
- Ability to travel between campuses including regional sites
- Must be able to pull/push, lift or carry up to 50lbs of equipment and supplies as required for event set up and breakdown
- Valid Manitoba Class 5 Driver’s License (required)

- Position is currently an in-office arrangement
Pay: $40,000.00-$45,000.00 per year
