Looking for an experienced corporate event planner/project manager to take over the end-to-end planning of a 2026 Sales Meeting.
The meeting is expected to take place in early November 2026, likely as a destination event, for approximately 45–50 internal attendees and partners. The contractor will need to quickly assess the work completed to date, validate outstanding commitments, help finalize the destination and dates, and manage the event through execution.
Responsibilities will include:
- Venue sourcing, proposal comparison, negotiation and contracting support
- Budget, deposit, invoice and deadline tracking
- Attendee registration, travel, transfers and rooming coordination
- Vendor-partner invitations, registration and participation
- Agenda, speakers, presentations and breakout-session coordination
- Meeting rooms, AV, food and beverage, activities, signage and materials
- Weekly project reporting, risk tracking and decision management
- Detailed run-of-show, on-site execution and post-event reconciliation
The ideal candidate has managed multi-day corporate meetings at hotels or resorts, is highly organized, communicates clearly, and is comfortable coordinating executives, sales teams, suppliers, travel agencies and venue teams. Experience negotiating hotel group agreements and managing destination events is essential.
