Position Overview
We are seeking a detail-oriented and process-driven Accounting Administrator to support our Accounts Payable, Accounts Receivable, and Accounting teams across multiple entities.This role is heavily focused on reconciliations, transaction accuracy, and structured data entry. You will play a key role in maintaining clean financial records, resolving discrepancies, and supporting operational departments through timely and accurate financial administration. This position includes development opportunity for someone looking to grow into an accountant role, with hands-on exposure to intercompany accounting, inventory tracing, and month-end processes.
Key Responsibilities:
Accounts Payable Reconciliations
- Perform detailed AP and vendor statement reconciliations
- Expedite invoice approvals and processing across departments
- Trace missing, duplicate, or incorrect invoices
- Ensure complete and organized supporting documentation
Account Receivable Payments Applications
- Apply incoming customer payments (cheque, EFT, wire, credit card, Bill Payment, and E-Transfer) to the correct customer accounts and open invoices using remittance advice.
- Enter and post cash receipts accurately and on time within the company's ERP system.
- Help research and clear unapplied or unidentified cash with guidance from senior staff.
- Maintain organized records and supporting documentation for all transactions.
- Communicate with internal teams to help resolve payment discrepancies.
- Support the AR team during month-end close as needed.
General Administrative Support
- Maintain organized digital and physical records
- Provide general administrative support to ensure efficient department operations
Qualifications
- Post-secondary education in Accounting, Business, or related field (or working toward completion)
- 2+ years of accounting or bookkeeping experience preferred
- Strong reconciliation skills and high attention to detail
- Comfortable investigating discrepancies and resolving issues independently
- Intermediate Excel skills
- Experience with ERP/accounting software preferred
- Organized, dependable, and deadline-driven
