About Penalta
Penalta is an established general contractor delivering small to mid-sized commercial, institutional, retail, and residential projects across the GTA. Our portfolio includes new builds, fit-outs, and retrofit work, supported by a hands-on approach to project delivery and a strong focus on coordination and execution.
The Role
We're looking for a recent graduate to join our estimating team as a Bid Coordinator. This is an entry-level role built for someone who has just completed a construction-related diploma or degree and is ready to put what they learned in school to work.
You'll work alongside our Estimator and Senior Estimator, supporting live bids from start to finish. Your day-to-day will focus on bid preparation, subcontractor and supplier coordination, document organization, and tracking incoming pricing. You'll be in the middle of the action, learning how projects are priced and how bids come together across a variety of project types.
We're not looking for someone with years of experience. We're looking for someone with the right foundation, the right attitude, and the drive to grow. If you graduated with a solid understanding of how construction works and you're eager to build a career in estimating, this is your starting point.
What You Will Do
- Support bid preparation by organizing drawings, specifications, addenda, and tender documents to ensure the estimating team has complete and current information.
- Coordinate subcontractor and supplier outreach during bid periods, distributing bid invitations, tracking responses, and following up on outstanding pricing by phone and email.
- Receive, log, and organize incoming trade quotes, flagging scope gaps, exclusions, or inconsistencies for the Estimator's review.
- Maintain and update bid logs to track all active tenders, deadlines, trade outreach status, and outstanding items.
- Assist in compiling estimate packages for internal review, including organizing inclusions, exclusions, assumptions, and supporting documentation.
- Prepare and distribute bid-related correspondence including RFQs, scope clarifications, and addendum notifications to subtrades and suppliers.
- Compile and maintain historical cost data, pricing records, and vendor contact information to support future estimates.
- Participate in pre-tender site visits and bid meetings to build your understanding of site conditions and project requirements.
- Support post-award handoffs by helping prepare project documentation and cost summaries for the project management and site teams.
- Contribute to ongoing improvements in estimating templates, tools, and internal processes.
What You Bring
- Recent graduate (2024-2026) with a diploma or degree in Construction Management, Construction Engineering Technology, Civil Engineering, Architectural Technology, Quantity Surveying, or a related field.
- A solid academic foundation in construction principles, building systems, and how projects are delivered from start to finish.
- Exposure to estimating concepts through coursework, co-op, or academic projects. You don't need to be an expert, but you should understand what a quantity takeoff is and why it matters.
- Comfortable working with Excel and open to learning industry tools like Bluebeam, PlanSwift, and Procore.
- Strong communication skills, both written and verbal. You'll be on the phone with subtrades and suppliers regularly, so you need to be clear, professional, and confident in those conversations.
- High attention to detail and an organized, methodical approach to managing documents and data.
- A genuine enthusiasm for construction and a real interest in learning how projects are priced and built.
- Self-starter who takes initiative, asks good questions, and doesn't wait to be told what to do next.
What Makes This Role Different
- This is a role where you'll be actively involved in live bids, working directly with experienced estimators who want to teach you how this business works.
- Our project mix spans general contracting, design-build, and construction management, so you'll get exposure to different delivery models, project types, and client expectations. That's a well-rounded foundation that most entry-level roles don't offer.
- There is a clear path from Bid Coordinator to Estimator as your skills and confidence develop.
Compensation & Benefits
- Comprehensive benefits package including health, dental, and vision.
- Professional development support and mentorship within the estimating team.
- Exposure to a diverse portfolio of project types and delivery models.
