Role Description:
The Operations Supervisor reports to the Operations Manager at Willowbrook Shopping Centre and
plays a critical role in the day-to-day leadership of the facility maintenance and operations function. This
position leads a team of building operators, owns the oversight of third-party contractors and service
providers, and champions the standards of safety, cleanliness, and operational excellence that define
the Willowbrook experience.
Responsibilities:
- Lead, coach, and develop the operations team, creating clear paths for growth and
- advancement.
- Schedule and assign work to ensure efficient coverage and consistently strong performance.
- Foster a collaborative, positive team environment that models accountability and our
- commitment to service excellence.
- Maintain strong relationships with tenants, ensuring service requests are acknowledged and
- resolved promptly and courteously.
- Own the day-to-day relationship with all third-party contractors and service providers, acting as
- the on-site subject-matter expert on every active contract.
- Know each contract inside and out — scope, specs, and KPIs — and hold vendors accountable to
- both the terms of the agreement and our values.
- Conduct regular vendor performance reviews and site audits, and drive corrective action when
- service falls short of spec.
- Maintain accurate, current records of contracts, KPI tracking, vendor correspondence, and
- performance history.
- Support the Operations Manager in contract renewals, re-tendering, and onboarding of new
- vendors.
- Conduct regular inspections to identify maintenance needs and address them promptly.
- Create, assign, and track work orders through QRConnect, ensuring building operators accept
- and action them promptly and complete accurate close-out documentation.
- Coordinate preventive maintenance programs to protect equipment longevity and reliability.
- Implement and enforce safety protocols and ensure compliance with applicable regulations.
- Optimize maintenance processes to achieve maximum operational efficiency, collaborating with
- other departments as needed.
- Identify and implement cost-effective solutions while maintaining quality and service standards.
- Support the Operations Manager in planning and executing emergency preparedness drills,
- including fire drills, attending after-hours as required.
- Participate in all emergency preparedness exercises and support the development and training
- of the team and contractors on the Emergency Response Plan (ERP).
- Coordinate with security and other departments to address urgent or emergency situations.
- Maintain accurate records of maintenance activities and expenses and report regularly on
- maintenance and vendor performance to management.
- Must be able to lift 40 pounds and go up on ladder if required.
- Must be available for on-call/standby and emergency call-out as required.
Any other job-related duties and/or projects that may be assigned.

Experience and Qualifications:
- Minimum 5 years of relevant work experience.
- Proven experience in maintenance or operations supervision, preferably in a retail or
- commercial setting.
- Demonstrated experience managing third-party contracts and vendor relationships, including
- performance tracking against KPIs.
- Strong leadership and team development skills, with a genuine commitment to coaching and
- growing people.
- Excellent communication and interpersonal abilities across tenants, vendors, and internal teams.
- Knowledge of safety regulations and best practices.
- Technical proficiency in facility maintenance systems and equipment.
- Intermediate skills in Microsoft Office (Excel, Word and Outlook)
The expected annualized base salary range for this role is $74,000-$84,000.
