Job Summary
Glacier West is seeking a proactive and hands-on Facilities Coordinator to support the maintenance and operation of our growing portfolio of properties.
This role is responsible for coordinating building maintenance activities, responding to tenant requests, managing vendor relationships, and helping ensure our properties remain safe, functional, and well-maintained. The portfolio currently consists of approximately 80,000 square feet across multiple properties, with significant growth anticipated in the near future.
This is an ideal opportunity for someone who enjoys variety in their day, is comfortable working independently, and takes pride in staying ahead of maintenance issues before they become problems.
Responsibilities
- Serve as the primary point of contact for maintenance requests from tenants
- Coordinate and oversee routine and preventative maintenance activities
- Schedule and monitor servicing (HVAC for example), inspections, and other recurring maintenance programs
- Conduct regular site visits and property inspections
- Source, research, and obtain quotes from contractors and vendors
- Coordinate repairs and maintenance projects with tenants, vendors, and contractors
- Monitor vendor performance and ensure work is completed to expected standards
- Track upcoming maintenance requirements and assist with long-term maintenance planning
- Maintain accurate records of maintenance activities and vendor information
- Assist with assigning and tracking maintenance work orders through Yardi (property management software)
- Respond to urgent maintenance issues as needed and participate in an on-call rotation (every other week)
Skills
- Experience coordinating facilities maintenance, building operations, or property maintenance activities
- Strong understanding of building systems and general maintenance requirements
- Ability to identify issues, coordinate solutions, and follow through independently
- Experience working with contractors, trades, and service providers
- Strong communication and customer service skills
- Comfortable delivering both positive and difficult messages professionally
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office and Outlook
- Experience with Yardi is considered an asset
- A practical, hands-on approach to problem solving
- Excellent communication skills in English for effective coordination across teams

Work Environment
This is a hybrid role that combines office-based administrative work with regular travel to property sites.
Approximately half of your time will be spent in the office, with the remainder spent conducting site visits, meeting vendors, overseeing maintenance work, and supporting tenants.

Pay: $31.25-$36.00 per hour
