This hybrid Executive Assistant and Business Coordinator role sits at the center of the Enabling Team (Executive Team). The position ensures the company’s leadership cadence runs smoothly—including weekly meetings, quarterly sessions, people leader forums, town halls, and events—while providing direct support to the President & CEO, including coordination with external stakeholders.
The role exists so leaders can spend their time leading and making decisions rather than coordinating. Success in this position requires an exceptionally organized, discreet, proactive, and service-oriented professional.
Executive Support to the CEO
- Manage the CEO’s calendar, meeting schedule, and travel arrangements; protect and prioritize the CEO’s time effectively.
- Coordinate communications with external stakeholders on behalf of the CEO, including meeting scheduling, correspondence, and follow-up.
- Prepare and compile briefing materials, presentations, and pre-read documents for the CEO’s meetings and engagements.
- Track the CEO’s commitments and action items through completion.
- Handle confidential and sensitive information with discretion and sound judgment.
Executive Team Coordination and Meeting Cadence Management
- Coordinate logistics for all executive team meetings and sessions, including weekly leadership (Level 10) meetings, quarterly sessions, people leader forums, town halls, sales meetings, service leadership meetings, and others. Responsibilities include scheduling, invitations, room and technology setup, attendance tracking, and meeting materials.
- Coordinate sales and marketing events and trade shows from start to finish in partnership with the Head of Marketing & Communications, including venue and vendor logistics, registrations, promotional materials, shipping, travel arrangements, and onsite readiness.
- Serve as scribe during the structured problem-solving portion of weekly leadership meetings, documenting issues, decisions, and action items.
- Prepare and distribute agendas and pre-read materials according to a consistent and reliable schedule.
- Monitor meeting action items and responsibilities, ensuring timely follow-up and completion.
- Provide shared administrative and coordination support to all members of the executive team.
Communications Coordination
- Coordinate the logistics and distribution of internal communications, with content provided by the Marketing & Communications or Talent & Culture teams.
- Coordinate external communications and correspondence on behalf of the CEO and the executive team.
Office Management and Hospitality
- Ensure the office is prepared to host important guests and visitors.
- Oversee general office coordination and day-to-day hospitality activities to ensure a smooth and professional workplace environment.
- Reports directly to the President & Chief Executive Officer (CEO).
- Works closely with the entire executive team on a daily basis, including Finance, Medical Imaging, Healthcare IT Solutions, Operations, Customer Excellence & Enterprise Governance, Talent & Culture, and Marketing & Communications.
- Interacts with external stakeholders, partners, vendors, and visitors on behalf of the CEO and executive team.
- 10+ years of experience in an executive assistant or coordination role, ideally supporting senior executives.
- Bilingualism in French and English is required.
- Exceptional organizational skills, with the ability to manage multiple priorities and calendars simultaneously while maintaining close attention to detail.
- Demonstrated discretion and trustworthiness in handling confidential and sensitive information.
- Calm, proactive, and service-oriented approach, with the ability to follow up effectively with senior leaders and external partners to meet deadlines.
- Experience coordinating corporate events and trade shows is considered an asset.
- Proficiency with Microsoft Office and collaboration tools; ability to quickly learn the team’s operational and meeting-management systems.
