Superintendent
Location: Downtown
Position Summary
We are seeking an experienced, hands-on Superintendent to oversee the day-to-day maintenance and operation of a residential property. Reporting to the Property Manager, the Superintendent is responsible for maintaining the property to a high standard while providing day-to-day leadership and direction to the Assistant Superintendent.
This position combines hands-on maintenance with operational oversight, contractor coordination, preventative maintenance planning, and resident service. The Superintendent plays a key role in ensuring the property is safe, clean, well-maintained, and operating efficiently while fostering a positive living environment for residents.
Key Responsibilities
Building Maintenance and Operations
- Perform and oversee general maintenance and repairs to residential units, common areas, and building systems, including plumbing, electrical, carpentry, drywall, painting, flooring, doors, windows, locks, lighting, and other building components within the scope of the position.
- Diagnose maintenance issues and determine appropriate corrective actions.
- Complete preventative maintenance on building equipment and systems to maximize service life and reduce emergency repairs.
- Coordinate and participate in preparing vacant units for occupancy, ensuring established quality standards and timelines are achieved.
- Respond promptly to maintenance requests and after-hours emergencies as required.
- Ensure the building, grounds, parking areas, mechanical rooms, storage areas, and common spaces are maintained in a safe, clean, and attractive condition.
- Maintain tools, equipment, and an adequate inventory of maintenance supplies.
- Identify repairs requiring specialized trades and coordinate with the Property Manager to engage qualified contractors.
Leadership and Team Coordination
- Provide day-to-day leadership, guidance, and support to the Assistant Superintendent.
- Plan, prioritize, assign, and monitor daily maintenance activities to ensure work orders and preventative maintenance tasks are completed efficiently and to a high standard.
- Work alongside the Assistant Superintendent on complex repairs, major maintenance projects, and emergency situations.
- Review completed work to ensure quality standards, timelines, and company expectations are met.
- Train and mentor the Assistant Superintendent on maintenance procedures, safe work practices, and company policies.
- Foster a collaborative, respectful, and safety-focused work environment.
Contractor Coordination
- Coordinate contractors for repairs and specialized services requiring technical expertise.
- Schedule, oversee, and monitor contractor activities to ensure work is completed safely, efficiently, and in accordance with approved scopes of work.
- Oversee recurring service contracts, including elevators, fire and life safety systems, HVAC, pest control, landscaping, and other preventative maintenance services.
- Inspect completed contractor work and verify satisfactory completion before approving service reports or work orders.
- Obtain quotations and provide recommendations to the Property Manager regarding contractor selection and building repairs.
- Escalate concerns relating to contractor performance, workmanship, safety, or contract compliance to the Property Manager.
Inspections and Preventative Maintenance
- Conduct daily, weekly, monthly, seasonal, and annual inspections of building systems, equipment, common areas, and site conditions.
- Assist with annual fire inspections, suite inspections, and other regulatory inspections.
- Identify maintenance deficiencies and recommend corrective actions to preserve the condition and value of the property.
- Maintain accurate inspection reports, maintenance records, and work order documentation.
- Ensure preventative maintenance schedules are maintained and completed.
Resident Service
- Respond professionally and courteously to resident maintenance requests and inquiries.
- Maintain positive working relationships with residents while delivering exceptional customer service.
- Communicate planned maintenance activities, service interruptions, and repair schedules as required.
- Resolve maintenance-related concerns promptly and escalate issues to the Property Manager when appropriate.
Health and Safety
- Ensure compliance with all workplace health and safety legislation, company policies, and safe work practices.
- Wear and enforce the use of appropriate personal protective equipment (PPE).
- Report unsafe conditions, incidents, and accidents promptly and take appropriate corrective action where authorized.
- Assist with emergency preparedness and emergency response procedures.
Administration
- Complete work orders, inspection reports, maintenance logs, and other required documentation accurately and in a timely manner.
- Monitor maintenance inventory and recommend the purchase of supplies and equipment.
- Assist the Property Manager with maintenance planning, budgeting, and identifying capital repair requirements.
- Perform other duties related to the maintenance, safety, and efficient operation of the property as assigned.
Qualifications
- Minimum three (3) to five (5) years of residential building maintenance experience, preferably in apartment, condominium, co-operative, or non-profit housing.
- Previous experience leading or supervising maintenance staff is considered an asset.
- Working knowledge of plumbing, electrical, carpentry, drywall, painting, flooring, and general building maintenance.
- Experience coordinating contractors and monitoring service contracts.
- Knowledge of preventative maintenance practices and residential building systems.
- Working knowledge of the Ontario Fire Code, Occupational Health and Safety Act, WHMIS, and applicable building regulations.
- Strong leadership, organizational, and problem-solving skills.
- Excellent interpersonal, customer service, and communication skills.
- Ability to work independently, prioritize competing demands, and make sound decisions.
- Proficiency with Microsoft Office and electronic work order or property management systems is an asset.
- Valid driver's licence (if required).
- Satisfactory Criminal Record Check required upon hire.
