Job Summary
Reporting to the Manager, Team Calgary, the Coordinator supports the team with the planning and execution of Calgary Economic Development’s corporate and community engagement program, Team Calgary.
The Team Calgary Coordinator will lead the administrative function and support with events related to the partnership program. This role will take ownership of program engagement tracking and reporting. The coordinators’ work will assist the team in growing the Team Calgary program.
Key Responsibilities
Corporate Partnership Program
- Provide support in the development and coordination of a comprehensive annual partnership plan, detailing specific activities and timing for engagement (identification, cultivation, ask, stewardship, fulfillment, and recognition) for each invested partner.
- Create and maintain files, documents, plans, and tracking materials to monitor progress with each invested partner.
- Assist in the collection and analysis of information to assess partnership programs.
- Compile reports to provide status updates on corporate partnership programs.
- Oversee the updating of Team Calgary documents including all digital and written assets
- Manage the creation and management of communication templates for Team Calgary.
Data and Reporting
- Act as a super user for CRM software and Monday.com, ensuring active and accurate updating of Team Calgary data and partnership engagement.
- Ensure partner information is current; regularly updating partner contact information
- Compile reports from CRM and Monday.com data.
- Manage contact lists for all Team Calgary connection points.
Event Coordination
- Supports logistical planning for events, including equipment, marketing materials, catering, event space arrangements and vendor coordination.
- Lead the tracking of invitees, creation of invitations and calendar invites, and assignment of staffing roles for Team Calgary events.
- Collaborate with marketing and event leads to determine necessary collateral, signage, and information for event attendees.
Administration
- Prepare invoicing and expenses, and manage financial reporting.
- Draft contracts and assist with the preparation of standard documentation.
- Triage stakeholder correspondence, providing information or referring inquiries as appropriate.

Education
Undergraduate degree in Business, Communications, Commerce or other related fields.
Experience
Minimum of 3-5 years of experience in a similar role.
Key Competencies
- Experience with data tracking and CRM platforms
- Effective time management and project management
- Proficient with Microsoft Office applications, especially Excel and PPT
- Interpersonal skills / strong verbal communications skills
- Event planning & logistics
- Understanding of the not-for-profit sector, community organization and community investment models
