Position: Administrative Assistant
Job Type: Part-Time - 10-20 hours part-time to begin
Location: In person (Dartmouth, NS)
Pay scale: Commensurate to experience

Position Overview
The Administrative Assistant provides organized, reliable, and mission‑aligned administrative support to ensure the smooth daily operations of the organization. This role strengthens the ministry by supporting staff, maintaining accurate records, coordinating communication, and upholding systems that reflect integrity, stewardship, and care.
Key Responsibilities
Office & Administrative Support
- Coordinate daily office operations, including correspondence, and filing.
- Maintain organized digital and physical records in accordance with internal policies and compliance requirements.
- Prepare meeting minutes
- Support staff with administrative tasks such as travel arrangements, and event logistics.
Communication & Donor Care
- Serve as a welcoming, professional first point of contact for visitors, callers, and ministry partners.
- Coordinate regular social media.
- Draft and send polished, respectful communications including emails, letters, acknowledgments, and donor thank‑you notes.
- Maintain contact lists and communication logs with confidentiality and care.
Financial & Compliance Support
- Support compliance processes including background checks, annual reporting, and document retention.
Event & Program Coordination
- Provide administrative support for meetings, trainings, conferences, and ministry events.
- Provide technical hosting for online webinars.
- Manage registrations, prepare materials, coordinate hospitality, and track attendance.
- Assist staff and volunteers with logistics to ensure events run smoothly and reflect the organization’s values.
Systems & Process Support
- Uphold strong administrative systems that promote consistency, clarity, and accountability.
- Maintain calendars, schedule appointments, and coordinate internal communication.
Qualifications
- Experience in administrative support, office management, or nonprofit operations.
- Strong organizational skills with attention to detail and follow‑through.
- Excellent written and verbal communication skills, with the ability to craft respectful, faith‑aligned messaging.
- Proficiency with Microsoft Office, digital filing systems, CRMs, and website management.
- Experience using design platforms like Canva an asset.
- Ability to maintain confidentiality, exercise sound judgment, and uphold the organization’s mission and values.
- Comfortable working in a Christian faith-based ecumenical environment, which includes prayer with members, colleagues, and others and providing spiritual support as required.
