ABOUT OUR COMPANY
We are an established B2B importer and manufacturer of wall art servicing retailers of all sizes across North America. To accelerate our growth, we are executing a dual strategy: launching a brand-new, direct-to-consumer (B2C) website under a fresh brand identity featuring our entire catalog of art, while simultaneously expanding our reach into specialized, alternative B2B wholesale markets.
Position Summary
The Operations Assistant is a critical hybrid role structured to drive warehouse and manufacturing efficiency. Under standard operating conditions, the position is heavily weighted toward Shipping & Receiving logistics (80%), providing core support for dispatch, documentation, and material handling. The remaining 20% of the role focuses on supporting the Production & Inventory Manager. Crucially, this position functions as the primary organizational safety net, stepping in to completely backfill the Production & Inventory Manager during holiday or absence blocks. During these backfill periods, the role transitions away from regular shipping duties to take direct operational instruction from the Operations Manager.
Core Responsibilities & Time Allocation
1. Shipping & Receiving Focus (80% Standard Workload)
- Carrier Coordination: Booking trucks and scheduling pickups/drop-offs in a timely manner to meet requested dates using the most cost-effective logistical solutions.
- Inbound/Outbound Logistics: Promptly unloading delivery trucks and managing the receiving/put-away process of inventory and supplies into assigned shelf locations.
- Documentation & Compliance: Preparing detailed domestic and international paperwork including print labels, PROFORMA invoices, Bills of Lading (BOL), Commercial Invoices, customs documentation, and packing slips.
- Customer & Vendor Relations: Resolving customer and supplier inquiries regarding shipping routes, delayed items, and rush orders while keeping clients informed with tracking details and shipping confirmations.
- Compliance & Quality Control: Verifying and updating tariff codes accordingly, and conducting thorough quality checks of all products prior to customer shipping to ensure errorless work.
- Warehouse Orderliness: Stacking, wrapping, and crating products securely. Maintaining a clean, safe, organized, and sanitary warehouse and work area at all times.
2. Production & Inventory Focus (20% Standard Workload)
- Inventory Management: Assisting in tracking stock levels of in-stock products and executing local warehouse replenishment from 3PL hubs in a timely fashion.
- Material Handling: Loading, unloading, and moving production materials by hand or using warehouse equipment; counting, weighing, and sorting material as required.
- Order Fulfillment Support: Picking customer orders from shelves, matching manufactured product carts to order batches, and verifying order accuracy.
- Production Floor Collaboration: Coordinating closely with the production team to facilitate an optimized flow of order processing, canvas handling, and assembly support.
Production Manager Holiday Backfill Protocol
During periods when the Production & Inventory Manager is on vacation or extended leave, this role pivots to cover key floor management tasks. To ensure clear communication, all duties during this block are directed by and reported straight to the Operations Manager. Temporary leadership responsibilities include:
- Personnel Scheduling: Executing daily workflow scheduling and task assignments for the production floor personnel to meet targets.
- Work Order Prioritization: Collaborating with the Operations Manager to review, prioritize, and adjust work orders to preserve operational efficiencies and schedule planning.
- Floor Leadership & Safety: Providing active floor leadership, keeping teams motivated on productivity, and strictly managing health and safety compliance on the production floor.
- Kongsberg Machine Operations: Assuming overall management and oversight of the Kongsberg cutting machine operations.
- Facility Security: Acting as a warehouse key-holder responsible for regular opening/closing protocols or managing night shift schedules as operationally required.
Job Requirements & Qualifications
- Proven experience working within a warehouse logistics, shipping/receiving, or production manufacturing environment.
- Strong proficiency in generating transport documentation (BOLs, Commercial Invoices, customs documentation, customs/tariff codes).
- Adaptable communication skills with the capability to interface professionally with external truck drivers, internal managers, and floor staff.
- Demonstrated leadership capabilities or readiness to supervise teams and assign floor schedules during backfill coverage intervals.
- Strong attention to detail with an emphasis on rigorous quality control, product verification, and strict workplace health and safety compliance.
- Physical capability to handle manual warehouse duties (counting, weighing, sorting, packaging, and sorting stock).
