Overview
We are seeking a professional and organized Administrative Assistant/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in office software. Experience with law offices. QuickBooks, and Google Workspace is a plus. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Handle filing, record keeping, and document management to maintain organized records
- Assist with appointment scheduling and calendar management for staff and clients
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Proofread correspondence, forms, and documents for accuracy and clarity
- Maintain a clean and professional reception area at all times
- Perform clerical duties such as photocopying, faxing, and mailing as needed
Experience
- Prior office experience preferred, especially in administrative or clerical roles
- Experience working at a front desk or handling multi-line phone systems is highly desirable
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Customer service experience demonstrating strong communication skills and phone etiquette
- Proven organizational skills with the ability to multitask efficiently and prioritize tasks effectively
- Effficient with typing and good skill with proofreading skills to ensure accuracy
