Diversified Staffing Services is currently seeking experienced and professional Clerks to fill a variety of short and long term temporary assignments for our clients in Edmonton and surrounding areas.
We are looking for responsible candidates to perform clerical tasks in a well-organized and timely way. You will need to act proactively and without guidance while understanding the needs and characteristics of people with whom you work with. Key Responsibilities
- Be the point of contact between the executives and company employees/clients and manage information flow
- Manage executives’ calendar and arrange their daily schedule (set up meetings, travel, speaking engagements)
- Record, transcribe and distribute minutes of meetings
- Oversee the performance of other clerical and administrative staff
- Act as an office manager by keeping up with office supply inventory
- Prepare and edit correspondence, communications, presentations and other documents
- Format information for internal and external communication – memos, emails
- Proven working experience as an executive assistant
- Acquainted with office management systems and procedures
- Discretion and confidentiality
- Preference will be given to candidates with prior experience working with the City of Edmonton or similar municipal environments
Mandatory Software & Systems Experience
Candidates must demonstrate hands-on experience with the following systems:
- SAP Ariba – for procurement, sourcing, and supplier management
- Trapeze – for transit scheduling, operations, or related data management
Qualifications
- Completion of a high school diploma; post-secondary education in Office Administration, Business Administration, or a related field is an asset
- Minimum 1–2 years of clerical or administrative experience, preferably in a municipal or public sector environment
- Proven experience working with the required systems: POSSE, SAP Ariba, TACS, and Trapeze
- Strong computer skills including Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational, time management, and multitasking abilities
- Strong attention to detail and accuracy
- Effective verbal and written communication skills
- Ability to work independently as well as part of a team
Assets
- Experience in a municipal government setting
- Knowledge of City of Edmonton policies and procedures
- Familiarity with records management and procurement processes
