We are a well-established Canadian aviation maintenance company located in Mississauga, specializing in landing gear maintenance, repair, and overhaul services for regional and business aircraft. We work with airlines, aircraft operators, leasing companies, and aviation maintenance organizations worldwide.
We are currently looking for a reliable, detail-oriented, and highly organized Administrative Coordinator – Customer Support & Operations to join our team.
Position Summary
The successful candidate will provide administrative and operational support to several departments, including Customer Support, Sales, Production, Quality, Accounting, and Marketing.
This is a full-time, in-office position suited for someone who enjoys communication, organization, follow-ups, and working in a busy technical environment.
Main Responsibilities
- Assist with customer communication and routine project status updates.
- Coordinate internal follow-ups between departments.
- Send and track Work Order Estimates and customer approvals.
- Assist with invoice and payment follow-ups.
- Maintain customer files, project records, and internal tracking lists.
- Help organize marketing materials, brochures, giveaways, and trade show items.
- Support trade show preparation, including packing lists, badges, printed materials, and customer meeting schedules.
- Assist with sending standard company information, forms, brochures, capability lists, and other customer-related documents.
- Provide general administrative support to Sales, Customer Support, Operations, and Marketing.
Qualifications
- Previous administrative, customer service, office coordination, or operations support experience is preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to follow up professionally and consistently.
- Comfortable working with emails, documents, spreadsheets, and internal systems.
- Ability to manage multiple tasks and priorities.
- Professional attitude and willingness to learn.
- Experience in aviation, manufacturing, or a technical environment is an asset, but not required.
Required Skills & Physical Requirements
- Microsoft Outlook, Word, and Excel.
- Strong email communication skills.
- Good data entry and file organization skills.
- Ability to communicate professionally with customers and internal departments.
- Reliable, proactive, and detail-oriented approach.
- Ability to lift and handle boxes/items weighing approximately 10–20 kg when required, mainly for marketing materials, trade show items, and occasional office support. This is not a daily requirement.
