- Maintain contact, property, listing and transaction databases and prepare internal research lists.
- Enter approved listing information and updates into brokerage, industry and marketing platforms.
- Track important dates, required documents, signatures and outstanding administrative items.
- Type and format agreements, correspondence and other documents based on instructions from the licensed team.
- Prepare pitches, proposals, presentations, brochures, offering memoranda, email campaigns and other marketing materials.
- Direct work completed by outside contractors by providing instructions, managing timelines and reviewing deliverables.
- Coordinate photography, signage, printing, couriers, data rooms and other listing logistics.
- Coordinate information with the company’s bookkeeper and assist with invoices, expenses and commission administration.
- Oversee day-to-day office operations, including calendars, shared systems, supplies, mail, professional registrations, office services and vendors.
What you bring
- Strong organization, attention to detail and follow-through.
- The ability to manage multiple files, priorities and deadlines.
- Clear, professional communication and sound judgment when handling confidential information.
- Confidence working independently and collaboratively within a small team.
- Proficiency with Microsoft Office and comfort learning databases, CRM systems and other business software.
- The ability to direct outside contractors and keep projects moving.
- A practical and resourceful approach to solving problems.
Relevant education or experience would be an asset, particularly in real estate estate, paralegal work, bookkeeping, business administration, project coordination, database management, marketing or professional-services support. Applicants do not need qualifications in every area.
